OVERVIEW

The Global Energy Alliance for People and Planet  brings together philanthropy including the IKEA Foundation, The Rockefeller Foundation and the Bezos Earth Fund, governments, technology, policy and development partners, and the private sector to tackle the twin challenges of energy access and transition in emerging and developing countries. By 2030, we aim to expand clean energy access to one billion people, enable 150 million new jobs and reduce 4 gigatons of future carbon emissions. We believe clean energy is development: without it, every other form of progress is undermined so we’re building a movement to unlock a new era of inclusive green economic growth that accelerates universal energy access while enabling the global community to meet critical climate goals during the next decade.  

POSITION SUMMARY

The Team Coordinator will be a central “go-to” person for the BESS Managing Director and the wider GOTF team. This role combines executive assistant responsibilities (calendar, travel, documentation) with broad team coordination, internal operations support, and light project management.

You will:

  • Ensure the Managing Director’s time, priorities, and engagements are efficiently managed; and
  • Help the broader BESS team stay organized, connected, and on track across multiple workstreams, partners, and geographies.

This is a high-exposure role suited to someone who is highly organized, proactive, comfortable “wearing many hats,” and keen to learn from a senior, mission-driven team.

KEY RESPONSIBILITIES

Executive Support to Managing Director and GOTF team

  • Manage and optimize the Managing Director’s calendar, ensuring alignment with key internal and external priorities.
  • Coordinate meetings and calls across time zones; anticipate conflicts and reprioritize as needed.
  • Prepare and organize meeting materials, briefs, and supporting documents.
  • Support email and correspondence management, including drafting and formatting communications as requested.

Team Coordination & Internal Operations

  • Act as a central coordination point for the GOTF team on scheduling, internal check-ins, and recurring forums (e.g., weekly team calls, workstream reviews).
  • Maintain team-wide trackers for priorities, deliverables, and key deadlines; follow up with owners to ensure timely completion.
  • Support onboarding of new team members and consultants (e.g., access requests, introductions, orientation documents).
  • Help organize and maintain shared folders, templates, and internal knowledge repositories for the GOTF team.

Meeting, Workshop & Event Support

  • Coordinate logistics for internal and external meetings, workshops, and events (virtual and in-person), including invitations, agendas, materials, and minutes.
  • Capture decisions, action items, and responsibilities; circulate summaries and track follow-through.
  • Work closely with program and operations teams to ensure smooth execution of high-visibility engagements.

Travel & Administrative Support

  • Plan and manage travel logistics for the Managing Director and, where relevant, other team members (itineraries, bookings, visas, local logistics, reimbursements).
  • Support basic admin tasks such as expense submissions, vendor coordination (where applicable), and documentation required for finance or procurement processes.
  • Ensure relevant records are updated, organized, and easily retrievable.

Light Project Management & Reporting Support

  • Assist in collating inputs from different workstreams for internal updates, dashboards, and periodic reporting.
  • Support preparation and formatting of presentations, briefing decks, and simple project documents for internal and external use.
  • Where needed, help coordinate short-term tasks and mini-projects, ensuring information flows smoothly between the broader regional teams.

  • Uphold high standards of professionalism, discretion, and integrity while handling sensitive information.
  • Serve as a trusted, reliable partner to the Managing Director and team, with a strong “ownership” mindset.
  • Contribute to a positive, collaborative team culture by being responsive, solution-oriented, and helpful across tasks big and small.

REQUIREMENTS

SKILLS & EXPERIENCE

  • 7-10 years of professional experience in roles such as executive assistant, team coordinator, project coordinator, or similar support function in high-performing organizations.
  • Experience supporting senior leadership and/or multi-stakeholder teams is preferred.
  • Strong organizational and time-management skills; proven ability to juggle multiple priorities and deadlines.
  • Excellent written and verbal communication skills; comfort drafting professional emails and documents.
  • High attention to detail in scheduling, documentation, and follow-ups.
  • Proficiency with MS Office / Google Workspace (Word/Docs, PowerPoint/Slides, Excel/Sheets, Outlook/Calendar, etc.).
  • Ability to build rapport and work effectively with diverse colleagues and external stakeholders.
  • Proactive, “no task too small” mindset, with a strong sense of ownership and reliability.
  • High levels of integrity and discretion in handling confidential information.

QUALIFICATIONS & COMPETENCIES

  • Bachelor’s degree in any discipline from a recognized institution (required).
  • A post-graduate degree (e.g., MBA, Master’s in Management / Public Policy / Development) is an advantage but not mandatory.
  • Planning & Coordination: Structures work effectively, anticipates needs, and ensures people and information are in the right place at the right time.
  • Stakeholder Service Orientation: Responsive, courteous, and professional; consistently supports both leadership and the wider team.
  • Execution & Follow-Through: Systematically tracks actions and ensures closure without requiring constant supervision.
  • Problem-Solving & Resourcefulness: Finds pragmatic solutions, navigates ambiguity, and escalates only when necessary.
  • Adaptability: Comfortable shifting between strategic support (briefs, decks) and operational tasks (logistics, admin) as needed.

PREFERRED QUALIFICATIONS

  • Language Skills: Proficiency in additional Indian regional languages
  • Sector Networks: Existing relationships with Indian clean energy companies, policy makers, and development practitioners; relationships with key Indian government departments will be added advantage
  • International Experience: Experience working with international development organizations or global philanthropy platforms
  • Digital Proficiency: Experience with Indian digital philanthropy platforms and emerging fintech solutions for charitable giving

 

COMPENSATION & BENEFITS

This is a consultancy engagement for 1 year with the possibility to extend longer with mutual agreement. Global Energy Alliance prides itself on being a flexible employer and employees typically operate on a hybrid schedule and as per team's requirement.

This position is based in our New Delhi office and could include significant travel within India.
