Team Operations and Research Support Coordinator - Contract

Bridgetown, Barbados

The Team Operations and Research Support Coordinator provides the essential operational backbone for the GovTech Barbados team, with a strong focus on supporting user research activities. You will be responsible for setting up and managing the logistical, ethical, and administrative foundation for all team projects, with a special emphasis on user research activities, ensuring our researchers can focus on generating insights to build better public services.

This is a critical support role that requires exceptional organisational skills and a proactive mindset. You will work closely with User Research specialists to ensure the smooth and efficient execution of all research projects.

About the team

The GovTech Barbados team is responsible for developing multi-disciplinary, user-centered digital teams within the Government of Barbados. Our goals are twofold: first, we want to deliver tangible impact to citizens through excellent public service design and delivery. Second, we want to build a sustainable and enduring digital mindset, skillset, and culture within the government. It’s an exciting time to join us as we accelerate our delivery phase. About the role

As the Research Operations Coordinator, you are the key enabler for our research team. You will own all the moving parts of the research process, from finding and scheduling participants to managing tools, budgets, and compliance. You will be the main point of contact for research participants, providing a professional and welcoming experience, while also supporting researchers with session setup and troubleshooting. Your work ensures our research is conducted ethically, efficiently, and effectively.

Key responsibilities

  • Participant management: Develop and maintain a reliable system for recruiting, screening, scheduling, and communicating with user research participants from various communities across the country.
  • Logistics and setup: Coordinate the booking of physical and virtual research spaces, ensure necessary equipment is ready and working, and support the technical setup for remote sessions.
  • Ethics and compliance: Draft, issue, and manage participant consent forms, non-disclosure agreements (NDAs), and data protection documentation, ensuring we meet all government and ethical standards.
  • Incentive administration: Manage the budget and distribution of participant incentives accurately and promptly.
  • Tool and asset management: Oversee the team's research tools and platforms, ensuring licenses are current and the team is trained on basic usage.
  • Repository maintenance: Help the team establish a clear, searchable repository of research findings, making sure all data is stored securely and is easily accessible for future projects.
  • Onboarding and team support: Assist with the smooth onboarding of new team members, including setting up necessary equipment, access, and introductory materials. Act as the primary administrative support for the team's leadership.
  • Knowledge and asset management (General): Establish and maintain the team’s internal documentation, ensuring key project templates, process guides, and internal team resources are easily accessible and up-to-date.

Essential attributes

  • You have proven organisational skills, with an ability to manage multiple schedules, deadlines, and competing priorities effectively.
  • You are detail-oriented and methodical, with a systematic approach to your work and a pride in accuracy, especially with documentation, budgets, and data.
  • You are a strong and professional communicator, comfortable and clear when interacting with people from diverse backgrounds, including citizens and internal team members.
  • You are proficient with productivity software (e.g., Microsoft Office, Google Workspace) and a quick learner when it comes to new cloud-based tools and databases.
  • You are a proactive problem-solver, able to anticipate challenges before they arise and quickly find practical solutions.
  • Familiarity with data privacy concepts and government procurement or financial management processes would be a significant advantage.

Contract details

  • Contract duration: One (1) year, with potential to extend
  • Pay commensurate with qualifications and experience will be offered
  • We prefer hybrid (remote and in-person) work, but we will consider entirely remote candidates
