Sr HR & TA Coordinator

Summary

This is a great opportunity to be one of the first team members to open our San Antonio location and hire 100+ people. This role provides human resources and talent acquisition support for recruiting, hiring, on-boarding, employee changes, terminations, HRIS and ATS system maintenance and reporting, and other projects as assigned. The ideal Senior Coordinator is passionate about fostering a positive candidate and employee experience and thrives in a dynamic workplace that values collaboration. This role requires a high degree of attention to detail, a learning mindset and initiative to continuously improve processes.

This is a limited-term employee role with an expected end date of 12/17/2027. Beginning from your start date, your role will be performed 100% remote. However, once Greenpoint establishes an office location in San Antonio, TX, you will be required to work full-time on-site at the office location. 

Essential Duties and Responsibilities 

Talent Acquisition Coordination

  • Creates and opens requisitions in Greenhouse for employee, agency temporary workers and vendor professionals.
  • Ensures automatic posting partnerships operate as expected and implements ad hoc campaigns.
  • Ensures an excellent candidate experience through prompt follow up and high-quality scheduling of video and in-person interviews.
  • Arranges all travel for out-of-town candidates and oversees candidate travel expense reimbursement.
  • Updates Greenhouse and Microsoft Teams regarding interviews and candidate correspondence.
  • Creates and records DocuSign for offer letters, agency temporary statements of work and vendor professional statements of work.
  • Initiates background checks and DOT drug tests, follows up with the background check vendor and candidate as needed to ensure timely results.
  • Ensures compliance by finalizing the hire in Greenhouse, completes and archives recruitment files, and confirms each position in Greenhouse has correct EEO classification.
  • Completes OFCCP Checklist for each hire and partners with colleagues to ensure compliance.

Human Resources Coordination

  • Coordinates and manage the onboarding process for new hires ensuring a seamless and positive experience by preparing and distributing new hire documentation and welcome materials. 
  • Creates new employee file, HRIS data entry, notifies stakeholders, conducts orientation sessions, provides necessary training to new employees, and completes work eligibility verification.
  • Coordinates employee changes and terminations in HRIS systems.
  • Supports open enrollment activities including census report population, coordination of open enrollment meetings, HRIS data entry/changes and other activities as needed.
  • Processes employee changes including manager, title, department and location and compensation.
  • Responds to written and phone employment verifications per company policy.
  • Supports the maintenance of the HR SharePoint site, ensuring the most recent information, forms, legal documents, and tools are accessible to employees.
  • Supports employee recognition program.
  • Supports BMS training coordination and records management by creation of new employee training plans and training record entry into training database.
  • Coordinates employee trainings and ensures completion.
  • Maintains and follows standard operating procedures to ensure accuracy with all administration.
  • Maintains thorough and complete records for personnel file, medical, I-9, benefits, 401k, unemployment, safety, workers compensation and others as required.   
  • Schedules meetings and performs other department coordination duties.
  • Supports processing of mail and all employee mailings and notifications. 

Other

  • Maintains regular attendance including being at work, being on time to work and working full shifts.
  • Other duties and special projects as assigned.
  • Maintains confidentiality and security of sensitive information and files.

Summary of Education, Experience & Certification

Bachelor’s Degree and at least three years of human resources and/or recruiting coordination experience or equivalent combination of education and related experience. A preference for 4+ years of related experience.

  • Proficient with Microsoft Office applications. Human Resource Information System (HRIS) software, Applicant Tracking System (ATS) and familiarity with PowerPoint and SharePoint preferred.
  • Learning mindset with a proactive approach to improving HR and Talent Acquisition processes.
  • Ability to sit for extended periods of time, use hands to lift and/or move up to 10 pounds, occasionally lift and/or move up to 25 pounds, and have close/color vision ability to adjust focus.
  • Ability to travel as required.
  • Ability to work overtime as required.
