Sr Proposal Specialist
Summary
We are seeking a Senior Proposal Specialist to lead proposal development efforts supporting complex aerospace and defense programs. This role serves as the operational anchor for proposal activities, coordinating inputs from multiple departments to ensure timely, compliant, and high-quality submissions. The Senior Proposal Specialist must operate independently, exercise sound judgment, and collaborate effectively across functions.
This position requires a confident, organized professional who thrives under pressure, communicates clearly, and drives process improvement. The ideal candidate demonstrates a strong balance of analytical rigor, creative thinking, and cross-functional leadership in alignment with government and commercial acquisition practices.
Essential Duties & Responsibilities
- Lead and coordinate proposal development efforts from RFP receipt through final submittal and revision cycles.
- Manage proposal schedules, kickoff meetings (KOMs), and documentation workflows to align with internal milestones and customer deadlines.
- Drive the development and formatting of proposal components including WBS, schedules, commercial guidelines, Q&A logs, and proposal charters.
- Compile, assemble, and ensure consistency across all proposal documents, maintaining compliance with customer instructions and internal standards.
- Partner closely with the Senior Estimating & Pricing Analyst to validate data inputs, support risk and contingency modeling, and facilitate reviews.
- Coordinate inputs from Engineering, Sales, Finance, and other departments while exercising independent judgment to maintain momentum.
- Prepare for and support key internal reviews and proposal submittals; assist in post-submission activities and lessons learned.
- Maintain proposal templates, tools, and past submittals to support continuous improvement.

Summary of Education, Experience & Certification
Bachelor’s degree in Business, Communications, Engineering, or a related field. Minimum of 6 years of experience in proposal coordination or relevant experience in project management roles (e.g., Associate Project Manager, Project Manager) in aerospace or defense environments. Familiarity with federal procurement (FAR, DFARS) and defense acquisition life cycle is a plus. Demonstrated experience leading cross-functional teams under deadline-driven conditions.
Employees working on programs subject to International Traffic in Arms Regulations must qualify as a US Person which is defined as a US Citizen, a Permanent Resident who does not work for a foreign company/foreign government/foreign governmental agency or organization, or a political asylee for legal compliance purposes.
Required Knowledge, Skills & Abilities
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and proposal management tools.
- Excellent organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to manage multiple projects simultaneously and work under tight deadlines.
- Experience with proposal management software (e.g., Deltek, Salesforce).
- Knowledge of ITAR and EAR regulations.
The expected WA salary range for this position is between $78,000.00 - $93,000.00 USD. Actual compensation will be determined based on experience, education, location, and other factors permitted by law.
