Executive Assistant, CTO & CPO
The Role:
Reporting to both our Chief Technology Officer (CTO) and Chief Product & Engineering Officer (CPO), you will serve as a force‑multiplier and trusted partner. Your mission is to remove friction, create structure, and maintain momentum across product, engineering, and business teams. This is an in‑person position based in our Austin headquarters. While a remote first company, this position requires flexibility with working in an office based on flex schedules of the executive’s being supported.
Responsibilities:
- Strategic Partnership & Alignment
- Serve as the connective tissue between executives and cross‑functional stakeholders; anticipating needs, clarifying priorities, and ensuring commitments are met.
- Orchestrate quarterly planning workshops, business‑review cadences, and follow‑up rhythms that keep teams aligned and accountable.
- Executive Support & Systems Building
- Manage complex calendars, prioritize incoming requests, and safeguard focus time.
- Design lightweight yet scalable systems (templates, trackers, decision logs) that streamline information flow and reinforce accountability.
- Project Coordination & Follow-Through
- Collaborate with project leads to keep executives up to date on critical deliverables including creating trackers or dashboards and proactively surfacing blockers.
- Chase down open items, unblock stakeholders, and escalate issues before they become problems.
- Travel & Event Planning
- Coordinate all aspects of domestic and international travel—crafting well-organized itineraries, anticipating last-minute changes, and ensuring smooth transitions between engagements.
- Plan offsites, team workshops, and board meetings that foster engagement, build trust, and reinforce our culture of transparency.
- Communication & Stakeholder Management
- Triage executive inboxes: identify high-priority messages, draft responses when appropriate, and route items to the correct teams.
- Prepare agendas, briefing docs, presentations, and post‑meeting summaries that drive clarity and action.
- Culture & Continuous Improvement
- Model empathy, discretion, and calm under pressure.
- Promote a continuous‑improvement mindset: collecting feedback and iterating on internal processes as the company scales.
Skills and Qualifications:
- 5+ years supporting C‑level leaders in high‑growth tech environments (startup or scale‑up preferred).
- Demonstrated track record of building repeatable processes that improve operational efficiency.
- Mastery of calendar, travel, and inbox management for multiple executives with competing priorities.
- Strong facilitation, verbal, and written communication skills; able to translate complexity into clear next steps.
- Proficiency with Office 365 productivity applications, Slack, Zoom, and basic productivity/organization tools.
- High emotional intelligence, impeccable judgment, and absolute discretion with confidential information.
- Must reside in the Austin metro area and be available to work on‑site three to five days per week based on the needs and in vs out of office schedules of the executives being supported.
- Project management experience a plus including prior experience with Agile methodologies or similar process-oriented frameworks.
- Experience directly supporting multiple executives in an engineering or product-led environment.
- Prior experience coordinating technical programs or product launch milestones.
- History of planning board meetings, investor summits, or C‑level off‑sites.

Base Salary Range: $90,000-$120,000
In accordance with applicable state and federal laws, the range provided is Halcyon’s reasonable estimate of the base compensation for this role. The actual amount may differ based on non-discriminatory factors such as experience, knowledge, skills, abilities, and location. Base pay is one part of the total package that is provided to compensate and recognize employees for their work, and this role may be eligible for additional discretionary bonuses/incentives, and equity in the Company.
