Role Summary:

The Procurement Associate supports day-to-day supply chain and administrative operations by processing purchasing transactions, maintaining documentation, and ensuring accurate recordkeeping. This role is essential to keeping the organization organized, compliant, and efficient, freeing senior team members to focus on supplier strategy, negotiations, and complex procurements.

The Procurement Associate supports day-to-day supply chain and administrative operations by processing purchasing transactions, maintaining documentation, and ensuring accurate recordkeeping. This role is essential to keeping the organization organized, compliant, and efficient, freeing senior team members to focus on supplier strategy, negotiations, and complex procurements.

Essential Responsibilities:

  • Process indirect purchase requisitions
  • Create and maintain purchase orders in the ERP system
  • Match purchase orders, packing slips, and invoices
  • Track order status and follow up with vendors
  • Scan, organize, and archive packing slips and invoices
  • Maintain records in accordance with procedures
  • Support document retrieval for audits
  • Reconcile corporate credit card transactions
  • Ensure receipts and documentation are complete
  • Flag discrepancies for resolution
  • Process RMAs
  • Track credits and replacements
  • Support supplier communication
  • Assist with process improvements

Qualifications & Experience:

Required:

  • High school diploma or equivalent
  • 0–2 years of experience in admin or purchasing roles
  • Strong attention to detail
  • Comfortable with spreadsheets and business software

Preferred:

  • ERP exposure
  • Interest in manufacturing or aerospace
  • Ability to manage deadlines

Physical Requirements:

  • Ability to sit for extended periods while working at a computer, reviewing data, and communicating with vendors.
  • Frequent use of hands and fingers for typing, data entry, and operating standard office equipment (computer, phone, copier, scanner).
  • Ability to occasionally stand, walk, bend, or reach while retrieving files, inspecting materials, or visiting warehouse or production areas.
  • Ability to lift and carry items weighing up to 15–25 pounds occasionally (e.g., sample materials, packages, or office supplies).
  • Visual acuity sufficient to read screens, spreadsheets, purchase orders, and detailed product specifications.
  • Ability to communicate effectively verbally and in writing with internal teams, suppliers, and logistics partners.
  • Ability to move between office and warehouse/manufacturing environments, which may include exposure to moderate noise levels and varying temperatures when entering production or storage areas.
