Operations Coordinator at Boston University Hillel

Boston, Massachusetts, United States

Operations Coordinator

Boston University Hillel

Role Overview

Join Boston University Hillel as our Operations Coordinator and help keep our space welcoming and working well for students. This role is great if you have a little work experience and enjoy hands-on tasks that make events and everyday life run smoothly. Our building gets over 30,000 student visits a year—four floors with programming space, dining, lounges, and offices—so you’ll be part of a busy, friendly place on campus.

You’ll work with the Chief Operating Officer and the rest of the staff to support daily operations and programs. This position is a strong entry-level (or re-entry) opportunity in a university setting, Jewish communal work, or nonprofit environment, with chances for mentorship and professional growth.

This is a full-time, in-person position. Typical hours are Monday–Friday, 9:00 AM–5:00 PM, with occasional evenings or weekends (about 1–2 per month). Coverage for major Jewish holidays—especially Rosh Hashanah, Yom Kippur, and Passover—is required for program support.

What You’ll Do

  • Help keep the building running: coordinate regular maintenance and custodial services, report small repair needs, and make sure spaces feel safe and welcoming.
  • Staff and support the front desk: help train and supervise student front-desk workers and fill in when a shift needs coverage.
  • Assist with security and access: learn basic security procedures, help handle after-hours facility issues, and assist with keys or card access.
  • Handle outside requests and rentals: help coordinate visits from groups outside Hillel, assist with contracts and event setup, and help with post-event tasks.
  • Support weekly and holiday meals, classes and events: help with logistics for Shabbat and holiday meals and other large events (including occasional evenings/weekends).
  • Help with projects as needed: assist the COO on special projects and suggest ways to make things run smoother.

Who We're Looking For

  • Comfortable with hands-on work (tidying rooms, moving furniture, basic upkeep).
  • Attentive to detail and service-oriented, keeping spaces neat, clean, and orderly.
  • Responsive to email and able to follow up when issues come up.
  • Good with people and happy to support students, staff, and visitors.
  • Willing to learn building systems and follow safety and security guidelines.
  • Organized and able to juggle several small tasks at once.

Why You Might Like This Job

  • A friendly, busy campus environment with lots of student interaction.
  • Clear, practical responsibilities—good if you’re starting your career.
  • Opportunities for mentorship and learning about operations and nonprofit work.
  • If this sounds like a place where you can jump in and help students and staff thrive, we’d love to hear from you.

What You’ll Get Out of It

  • A salary of $48,000-$53,000, depending on level of experience
  • A comprehensive benefits package, including health insurance, Tax Deferred Retirement Plan, Life, AD&D, and Long Term Disability insurances, Flexible Spending Plan, generous vacation/sick time, and parental leave.
  • Great professional development, mentoring, and skill-building opportunities

What You’ve Accomplished

  • Bachelor's degree preferred
  • 0–3 years of relevant experience (operations, facilities, hospitality, administrative or nonprofit)
  • Strong customer service and hospitality orientation with comfort working closely with college students
  • Proficiency with Microsoft Office (Office 365) and ability to learn new systems

What You’ll Bring to the Job

  • Clear verbal and written communication skills; ability to communicate sensitively with varied audiences
  • Strong time management, organizational, and interpersonal skills
  • Ability to work both independently and collaboratively; comfortable prioritizing multiple tasks in a fast-paced setting
  • Flexibility to work occasional evenings/weekends and respond to emergencies as needed
  • Ability to lift and carry 25 pounds (for example moving cases of wine, re-arranging tables and chairs)
  • Caring, approachable, and a good sense of humor
  • Do not need a Jewish background must be comfortable in Jewish/pluralistic spaces
