
Workplace Coordinator

Own and manage the day-to-day rhythm of our office, including:
- Ordering lunches, snacks, and beverages, and keeping the kitchen stocked.
- Managing office supplies, making sure we never run out of essentials.
- Handling light cleaning and upkeep—wiping down counters, running the dishwasher, restocking paper goods, and keeping shared areas orderly throughout the day.
- Coordinating with vendors such as cleaners, contractors, and maintenance crews.
- Partnering with property management on building issues and improvements.
- Keeping storage areas neat, organized, and functional.
- Resetting conference rooms and shared spaces after use.
- Thinking creatively about how to make the office feel beautiful, functional, and inspiring, even on a budget.
- Partnering with IT to make sure equipment runs smoothly.
This role is for someone who can Get Gritty. Someone who rolls up their sleeves, finds resourceful fixes, and takes ownership of the details that make a workplace feel energizing.
Safety and Compliance:
- Support a safe, secure, and compliant workplace.
- Maintain safety certifications and run regular checks on emergency equipment.
- Update and document safety procedures, including evacuation routes and policies.
- Stay current on best practices in workplace safety and compliance.
Reception Duties:
As the first face of HiveWatch, you’ll set the tone for every visit.
- Greet guests warmly and make them feel welcome.
- Offer refreshments and create a professional, friendly experience.
- Notify the team of arrivals and keep visitor meetings on schedule.
Events and Culture:
- Collaborate with the Hivewatch Culture Committee to plan and execute team events.
- Embody our value of Birthday Cards over Business Cards, building real relationships and community among the team.
Talent Acquisition and Onboarding Coordination:
As HiveWatch’s Workplace Experience Captain, you’ll coordinate and maintain an organized, memorable candidate and new hire experience.
Talent Acquisition Coordination
- Schedule interviews, including complex onsite itineraries and candidate travel.
- Organize prep calls, debriefs, and other meetings to keep hiring on track.
- Communicate proactively with candidates and hiring teams to ensure a smooth process.
New Hire Onboarding
- Schedule onboarding sessions and coordinate travel logistics.
- Set up desks, prepare swag, facilitate office tours, and make every new hire’s first impression flawless.
- Be the go-to person for new hire questions, helping them settle in quickly and confidently
PREFERRED QUALIFICATIONS:
- 1+ years of administrative experience in a fast-paced, demanding environment. Recent graduates with relevant internship experience will be considered
- Intrinsic sense of urgency and desire to get things done at a high level of quality. Incredibly proactive and able to take initiative and work efficiently with little direction. Does things without being asked, because they simply care and take pride in their work
- Strong, compelling verbal and written communications that balance professionalism with the right tone and are appropriately tailored to the audience.
- Detail-obsessed. You notice what others might miss and care deeply about doing things right.
- Organized, reliable, and able to juggle multiple moving parts without losing track.
- Unflappable under pressure and optimistic by nature. You keep your composure when things get busy.
- Tech-savvy and eager to learn new tools. Has exposure to Google Suite and comfortable using AI tools to work smarter.
- Must be able to lift and carry items weighing up to 50 pounds
- Reliable transportation is required for this position as it may involve travel between different locations.
ADDITIONAL INFORMATION:
Compensation: This is a full-time, in-office, non-exempt position with an hourly range of $24–$29.
Hours: The Workplace Experience Coordinator works onsite in our El Segundo office from 8:30 AM to 5 PM, Monday through Friday. Because this role supports visitors, events, and daily operations, there may be times where you’ll start earlier or stay later. A general rule of thumb: if a guest is still in the office, you’re there to make sure their experience is seamless from beginning to end.
