KALCON is seeking a highly organized and proactive Project Coordinator / Project Administrator to support the successful delivery of mission-critical data center construction projects. This role serves as a key member of the Owner's Representative team and provides support across project controls, document management, financial tracking, meeting coordination, contractor communication, commissioning, project closeout, and day-to-day project administration.

The ideal candidate thrives in a fast-paced construction environment, possesses exceptional organizational and communication skills, and is capable of supporting both field and office-based project activities. This individual will work closely with Construction Managers, Project Managers, General Contractors, consultants, vendors, commissioning teams, and owner stakeholders to ensure efficient project execution and reliable project controls.

Minimum Qualifications:

  • Bachelor's degree in Construction Management, Engineering, Business Administration, or related field preferred.
  • 2-5 years of experience supporting commercial, industrial, mission-critical, or data center construction projects.
  • Experience supporting construction project teams in a project coordinator, project administrator, assistant project manager, or similar role.
  • Strong proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and Teams.
  • Experience with Procore, Autodesk Construction Cloud, SharePoint, Unifier, or similar project management platforms preferred.
  • Strong document control and organizational skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong attention to detail and commitment to accuracy.
  • Ability to work effectively with internal teams, contractors, vendors, and clients.

Duties and Responsibilities:

  • Support Construction Managers and Project Managers in the daily coordination and administration of mission-critical construction projects.
  • Review project management systems and track weekly deliverables from General Contractors and project stakeholders.
  • Assist with project document control, file management, and document compliance requirements.
  • Maintain project correspondence, logs, trackers, and project records.
  • Manage RFI, submittal, change order, and action item logs.
  • Track project commitments and issue resolution efforts through completion.
  • Coordinate project meetings including OAC meetings, contractor meetings, commissioning meetings, and owner meetings.
  • Prepare meeting agendas, maintain meeting minutes, and distribute action items.
  • Assist with project schedule coordination and milestone tracking.
  • Support project financial processes including purchase orders, budget tracking, cost reports, and invoice management.
  • Review and process contracts, purchase orders, vendor documentation, and project-related administrative requirements.
  • Coordinate contractor and vendor communications.
  • Manage project directories, contact lists, and stakeholder distribution lists.
  • Support commissioning documentation, turnover documentation, and project closeout activities.
  • Assist with collection and organization of O&M manuals, warranties, training records, and as-built documentation.
  • Support customer, tenant, and operations handover requirements.
  • Assist with permit tracking, inspection coordination, and regulatory documentation.
  • Perform routine site walks to gain familiarity with project status, construction progress, and field activities.
  • Build and maintain professional working relationships with contractors, vendors, consultants, and client representatives.
  • Coordinate site access requests, visitor registrations, parking logistics, and project orientations.
  • Support onboarding activities for project personnel and visitors.
  • Assist with project office operations, trailer logistics, conference room scheduling, and workspace coordination.
  • Coordinate project team communications and distribution of project updates.
  • Assist with scheduling travel, meetings, workshops, and team events.
  • Order and maintain office supplies, field supplies, PPE, and project equipment.
  • Support printer setup, conference room technology, and administrative project office needs.
  • Prepare reports, presentations, dashboards, and executive summaries for project leadership.
  • Maintain project status trackers and reporting tools.
  • Support project closeout documentation and final turnover deliverables.
  • Assist Construction VPs, Directors, Project Managers, and Construction Managers with project-related tasks and special assignments as needed.
  • Utilize project management technology and software platforms to support project controls, document management, communication, and reporting.
  • Perform additional duties as assigned by management.

Salary Range

$80,000 - $120,000 USD
