Role Overview
As a Talent & People Operations Coordinator, you will play a critical role in ensuring that our recruitment and HR systems operate accurately, efficiently, and seamlessly.
This is a one year contract role that will have an initial focus on recruitment operations and reporting (first 3–4 months), with a structured transition into broader HR operations coordination thereafter.
This is a systems-driven, detail-oriented role suited to someone who enjoys working with data, improving processes, and leveraging modern tools, including AI, to enhance efficiency and quality.
About the Role
Recruitment Operations (Primary Focus – First 3–4 Months)
- Own and maintain ATS (Greenhouse) focusing on:
- Data accuracy and pipeline hygiene
- Job description formatting
- Scorecard formatting
- Coordinate interviews across multiple time zones with candidates, hiring managers and the talent acquisition specialists
- Prepare and issue compliant offer documentation
- You will help maintain and update reports on key hiring metrics, including:
- Time-to-hire
- Time-to-fill
- Funnel conversion rates
- Source effectiveness
- Offer acceptance rates
- Ensure a smooth and professional candidate experience
- Ensure reference checks (Xref) are completed and sent to the hiring manager in an easy to access and assess format
- Ensure background checks have been completed while flagging with the HR team any check concerns
HR Operations (Expanded Focus After Month 4)
- Maintain HRIS accuracy and data integrity in BambooHR
- Support onboarding and offboarding processes across multiple countries
- Track compliance documentation and ensure audit readiness
- Generate workforce and people analytics reports
- Support employment verification letters, contracts, and documentation updates
- Assist with People & Talent team projects and operational initiatives
Practical AI Application
At Karbon, we expect team members to leverage modern tools to improve performance and efficiency.
You must demonstrate practical application of AI tools (e.g., ChatGPT or similar platforms) in your daily work to improve:
- Reporting and data analysis
- Documentation drafting
- Process documentation
- Workflow optimization
- Research and policy support
During the interview process, you may be asked to demonstrate how you incorporate AI into your workflow.
About You
- 2–5 years of experience in Recruitment Operations, HR Operations, or People Coordination
- Must be currently based in Cebu, Philippines, and willing to work from a future Cebu office location
- Hands-on experience using Greenhouse ATS
- Hands-on experience using BambooHR
- Strong proficiency in Excel or Google Sheets (pivot tables, lookups, reporting formulas required)
- Experience working in a fast-paced or multi-country environment
- Exceptional attention to detail and commitment to data accuracy
- Strong systems thinking and process ownership
- Comfortable working with metrics and presenting data clearly
- High level of discretion and ability to handle confidential information
- Proactive and solution-oriented mindset
- Ability to manage multiple priorities in a global environment
- Interest in growing from recruitment operations into broader HR operations ownership

As we hire across various locations within the USA we are required by law to include a reasonable estimate of the compensation range for this role.
The range provided is broad and takes into consideration a wide range of factors that are reviewed when making a hiring decision, such as physical location/cost of living in that location, years of experience, skills, and other business needs.
It is not typical for a candidate to be hired at or near the top of the pay range and each compensation decision is dependent on each individual case. The base salary is one component of the total compensation package, which for some roles may include a target bonus, for some roles very competitive equity grant, and very generous benefits. The estimated base salary range for this role is:
₱400,000 - ₱450,000 PHP
