Purpose: We’re looking for a proactive, detail-oriented Marketing & Business Operations Associate to join our growing Marketing team. This hybrid role sits at the intersection of marketing operations, business analysis, and project coordination—supporting both strategic initiatives and the day-to-day execution that keeps our team moving forward.

The ideal candidate thrives on improving processes, simplifying complex systems, and enabling cross-functional teams to work more effectively. This role will play a critical part in workflow documentation, system enhancement management, internal communications, data reporting, and project coordination.

This is a hybrid role in our Chicago office with three days per week in office and two days remote.  Depending on experience, the compensation for this position will be a base salary of $60,000 to $80,000 per year, plus a discretionary bonus and benefits.

Key Responsibilities:

Business Operations & Analysis

  • Collaborate with IT to manage and prioritize system enhancement requests; track and document them in Azure DevOps.
  • Analyze current business workflows and develop clear, standardized documentation (SOPs) using tools like Lucidchart.
  • Translate business needs into functional requirements for systems enhancements or operational improvements.
  • Create and analyze reports and dashboards in Salesforce and Sigma to drive insights and inform decision-making.
  • Conduct User Acceptance Testing (UAT) for new tools, features, and enhancements.

Marketing & Communications Support

  • Contribute to internal communications by drafting updates, maintaining intranet content, and creating reporting dashboards.
  • Support campaign execution, tracking, and performance measurement in partnership with Marketing and Communications teams.
  • Prepare reports that monitor marketing pipelines, lead conversion, and other key performance indicators.

Project Coordination

  • Assist in the planning, execution, and follow-through of cross-functional projects and initiatives.
  • Help create training materials and facilitate user training sessions for new systems, tools, or processes.
  • Maintain project documentation and ensure timely follow-up on tasks and deliverables.
  • Collaborate with teams across IT, Marketing, Legal Operations, and Client Services to align on goals and execution.
  • Take on additional duties as needed to support evolving business priorities and team objectives.

Knowledge, Skills & Abilities:

  • Excellent attention to detail with strong analytical and problem-solving skills.
  • Clear, concise communicator—both written and verbal.
  • Skilled at documenting workflows and SOPs in Lucidchart or equivalent platforms.
  • Comfortable working independently in a dynamic, fast-paced, and cross-functional environment with multiple priorities and deadlines.
  • Proficiency in Salesforce and reporting tools like Sigma.
  • Experience with Azure DevOps or similar platforms for managing requests and enhancements.
  • Proficient with Microsoft Office Suite; familiarity with project management tools (e.g., Asana, Smartsheet) is a plus.
  • Foundational knowledge of marketing operations or internal communications is helpful.

Education & Experience:

  • Bachelor’s degree in Business, Marketing, Communications, or a related field.
  • 1–4 years of experience in business operations, marketing support, or project coordination.
  • Hands-on experience with Salesforce, Lucidchart, and Azure DevOps preferred.
  • Certifications such as CBAP, PMP, or PMI-PBA are a plus but not required.
