Job Summary:

The Operations Manager will be responsible for overseeing the daily operations of the Mortgage Processing and Account Management teams. This role ensures the seamless management of the mortgage pipeline, with a key emphasis on moving loans efficiently from application through to closing. The Operations Manager will ensure accuracy, compliance, and timeliness in processing loan files, and will lead efforts to streamline workflows, optimize team performance, and maintain a customer-first approach. Effective oversight of the pipeline to ensure timely closings will be a critical function of this position.

Responsibilities:

  • Lead & Develop Team: Supervise, mentor, and coach the loan processing and closing team to create a positive, high-performing work environment. Foster a culture of accountability and collaboration.
  • Set Clear Expectations: Establish and communicate individual and team performance goals. Conduct regular performance evaluations, offering feedback and identifying growth opportunities.
  • Pipeline Management: Closely monitor the mortgage pipeline to ensure loans are efficiently processed and progress toward closing without delays. Proactively manage any bottlenecks or challenges that arise.
  • Streamline Workflows: Implement and refine standardized processes, checklists, and best practices to improve accuracy, efficiency, and minimize redundancies across the team.
  • Collaborate Across Departments: Work closely with underwriting, funding, and sales teams to identify and address operational bottlenecks, streamline workflows, and ensure timely loan closures.
  • Data-Driven Improvement: Analyze team performance metrics and loan cycle times to identify opportunities to reduce turnaround times and enhance overall efficiency.
  • Ensure Compliance: Stay current on industry regulations, trends, and changes, ensuring that all loan files meet federal, state, and organizational requirements (including TRID, HMDA, and secondary market guidelines).
  • Quality Assurance: Perform periodic audits of processed files to ensure compliance with standards and proactively address discrepancies.
  • Effective Communication: Serve as the key point of contact between the processing team and other departments, ensuring smooth communication and resolution of any issues that could impact the loan pipeline.
  • Account Manager Coordination: Maintain regular communication with Loan Officers to address borrower needs, ensure clear expectations, and keep files progressing smoothly toward closing.
  • Reporting & Updates: Provide ongoing updates to senior leadership on pipeline health, team performance, challenges, and any initiatives designed to improve operations.

Qualifications:

  • Proven ability to prioritize and manage competing demands while meeting strict deadlines.
  • Excellent communication skills, with the ability to manage a team and collaborate across multiple departments.
  • Strong analytical skills and the ability to assess performance data to drive continuous improvement.
  • In-depth knowledge of mortgage products, regulatory requirements, and processing workflows.
  • Familiarity with loan origination systems (LOS), automated underwriting systems, and document management tools.
  • Minimum of a high school diploma or equivalent required; advanced certifications or training in mortgage lending preferred.
  • At least 3 years of experience in mortgage processing or related roles, with a strong understanding of loan lifecycles.
  • Proven leadership experience, with a minimum of 1 year in a supervisory or management position.
  • Familiarity with wholesale and Non-QM loan processing is a plus.
  • Proficiency in standard office software and loan management systems.
