Goal of This Role:
The Executive Assistant will serve as the right hand to the founder of a high-growth robotics startup. Your mission is to 10x the founder’s productivity by anticipating needs, protecting their time, systematizing chaos, and solving problems—before they even arise. This is not an administrative role—it’s a force multiplier role. You will help ensure the founder is focused on the highest-leverage activities that move the business forward. You’ll be exposed to every part of the business—from investor conversations and strategic planning to product, ops, and hiring—learning directly from a founder. This role reports directly to the CEO and works across all departments.
What You’ll Do
- Own the Founder’s Calendar & Communication, acting as a gatekeeper to ensure the founder is focused only on the most important work.
- Systematize Workflows & Build Operating Rhythms, reducing context-switching and inefficiencies that slow down execution.
- Anticipate Needs & Remove Friction, solving problems before they arise and creating space for strategic work.
- Manage Cross-Functional Projects, following up with internal stakeholders and external partners to keep priorities on track.
- Coordinate High-Stakes Meetings, including board meetings, investor check-ins, team offsites, and strategic partnerships.
- Research, Synthesize, & Prepare Briefings, ensuring the founder is always walking into meetings with the right information and edge.
- Support Internal & External Communication, helping with memos, follow-ups, pitch prep, and time-sensitive communication.
- Handle Logistics with Precision, including travel planning, event scheduling, and operational tasks that drive momentum.
- Build Trust & Protect Confidentiality, operating with discretion, judgment, and integrity in everything you do.
- Continuously Optimize the Founder’s Effectiveness, proposing and implementing improvements that unlock higher leverage.

Qualifications:
- Demonstrated ability to manage complex scheduling, competing priorities, and high volumes of information.
- Experience building or managing systems and workflows that increase organizational efficiency.
- Excellent written and verbal communication skills.
- Comfort with modern tools: Google Workspace, Slack, Notion, ChatGBT, etc.
Preferred Skills:
- Prior exposure to fundraising, investor relations, or startup ops.
- Background supporting C-level executives or founders.
- Experience planning events, managing logistics, or supporting external communications.
- Strong writing skills—whether it’s summarizing a meeting, crafting an email, or organizing internal comms.
- Familiarity with tools like Notion, Airtable, HubSpot, or Zapier to build lightweight automations and systems.
Success Criteria
- Increase Founder Leverage by reducing low-value tasks, increasing strategic focus, and removing bottlenecks.
- Establish & Own a Predictable Weekly Operating Rhythm, ensuring priorities stay on track across departments.
- Cut Time Spent on Scheduling & Email by 80%, freeing the founder to focus on building and leading.
- Surface & Solve 5+ High-Leverage Problems in First 90 Days, establishing clear ROI for your work.
