We are looking for an Office Manager and Executive Assistant who is skilled in the art of organization and coordination to support our Amsterdam team and oversee, maintain, and ensure the smooth and efficient day-to-day operations of Lucid Software’s EMEA office. The ideal candidate will have a friendly, flexible demeanor, excellent communication and organizational skills, and have a passion for the culture and products represented at Lucid Software. The position is fast-paced and multifaceted. We need an energetic, efficient, independent, organized, and highly detail-oriented person to keep our office running smoothly as we expand our growing team year over year!
Responsibilities:
- Rock-solid information provider. Keep staff informed and be the go-to person for information pertaining to the general office.
- Anticipate office needs long before they become critical needs. Keep a long-term focus and plan ahead to have office space ready to accommodate the company’s rapid growth.
- Keep the office efficient and organized and fully stocked with supplies. Order and pick-up supplies as needed.
- Act as key liaison and build strong relationships with office vendors.
- Ensure the office’s biophilic design is maintained by coordinating with our horticulture expert and watering the plants as needed.
- Assisting with Onboarding employees
- Manage assignment of badges.
- Oversee planning, organizing, and execution of corporate events, such as but not limited to: catered lunches, meetings, retreats, or parties. Research and book event venues; arrange for equipment and services; research and select caterers and other service providers.
- Directly support one executive team member.
- Ringlead the leadership team by coordinating meetings, calls, prep meetings, and more;
- Take notes, follow-up on tasks, assign actions and owners, and help keep people on task;
- Establish processes for keeping the team organized;
- Communicate and handle incoming and outgoing electronic communications on behalf of the executive team;
- Assist with preparation of presentation materials;
- Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.
- Lead Emergency Response Team, training, setup meetings, etc.
- Support all departments as needed on matters that directly impact the executive team.
Requirements:
- Knowledge of office administration
- Works efficiently, accurately, and independently
- Ability to multitask, use personal judgment, and utilize strong decision-making skills
- Possesses excellent communication skills including oral, written, and interpersonal
- Brings passion and excellence to everything he/she does
- Innovates, pursues knowledge, and stretches to grow
- Results oriented: able to work in a fast-paced, demanding work environment by staying highly organized yet adaptable in the face of an intense pace, ambiguity, and dynamic growth
- Inquisitive nature, takes initiative to investigate solutions independently
- Strong skills with Google Apps

- Self-starter who actively looks for ways to improve themselves and the work they are involved with in the office
Preferred Qualifications:
- BA or BS degree preferred
