Document Control Specialist

Luster National is seeking a Document Control Specialist to support major public works initiatives, while staying plugged into the pulse of New York’s transit transformation. This is a long-term, full-time, onsite opportunity located in New York City, NY.
Responsibilities
- Maintain and organize project documentation, ensuring accuracy, version control, and accessibility.
- Implement document control procedures in alignment with stakeholder standards and industry best practices.
- Ensure compliance with regulatory requirements, contractual obligations, and internal policies.
- Track and manage document revisions, approvals, and distribution across project stakeholders.
- Coordinate with project managers, engineers, contractors, and other stakeholders to ensure proper document flow.
- Facilitate communication between internal teams and external stakeholders regarding document updates.
- Provide training and guidance on document control processes to project personnel.
- Utilize document management systems to store and retrieve project records (e.g., MS SharePoint, Unifier, ProjectWise, etc.)
- Ensure proper indexing and metadata tagging for efficient document retrieval.
- Support audits and inspections by maintaining organized and accessible records.
- Generate reports on document status, approvals, and outstanding actions.
- Conduct periodic reviews to ensure document integrity and compliance with project requirements.
- Assist in preparing documentation for regulatory submissions and project closeout.

Minimum Qualifications
- Bachelor’s degree in Business Administration, Engineering, or related field, or equivalent combination of education and experience.
- 3+ years’ work experience as a Document Control Specialist on large, complex, public works infrastructure engineering programs.
- Experience working with a variety of construction and project-related documents, including drawings, RFIs, submittals, and correspondence.
- Experience working on NYC MTA projects in a similar role with knowledge of MTA standards, regulatory requirements, and document management protocols.
- Proficiency with Electronic Document Management Systems (EDMS)
- Proficiency with Microsoft Office Suite/Office 365 (e.g., Outlook, Teams, Word, Excel, PowerPoint, etc.)
Preferred Qualifications
- Experience with Oracle Unifier and/or Bentley ProjectWise.
- Familiarity with file naming conventions and the Construction Standards Institute (CSI) coding structure.
Compensation Details
The salary range listed for this role is $72k-$89k/yr ($35-$43/hr.) The final salary offered is based on multiple factors and is thoughtfully aligned with each candidate’s level of experience, breadth of skills, total education achieved, certifications/licenses that have been obtained, etc.
