Job Overview

Marketech International Corporation USA is seeking a detail-oriented and proactive Bilingual Document Control Specialist to support project documentation, data collection, reporting, and day-to-day project coordination. This role is responsible for organizing and maintaining project records, trackers, reports, cost-related information, invoices, procurement records, and other supporting documentation while ensuring data is accurate, complete, and up to date.

The ideal candidate has strong numerical aptitude, data organization skills, proficiency in Microsoft Office, especially Excel, and the ability to manage multiple priorities in a fast-paced project environment. Bilingual proficiency in English and Mandarin Chinese is required.

Key Responsibilities

  • Collect, organize, maintain, and update project documents, records, trackers, and reports.
  • Compile and summarize project data, cost-related information, invoices, procurement records, and other supporting documentation.
  • Maintain accurate Excel spreadsheets, document logs, and status trackers for project reporting and follow-up.
  • Track outstanding documents, deadlines, revisions, approvals, and required actions.
  • Review documents and data for completeness, accuracy, formatting, and required supporting information.
  • Coordinate with project managers, engineers, vendors, subcontractors, and internal teams to collect missing information and resolve documentation issues.
  • Assist with document submissions, filing, archiving, and project closeout or turnover activities.
  • Provide bilingual English/Mandarin communication and coordination support as needed.
  • Support general project administration and other documentation-related tasks assigned by the project team.

Required Qualifications

  • Bachelor’s degree in Business Administration, Finance, Accounting, Engineering, Construction Management, Project Management, or a related field.
  • Strong numerical aptitude and attention to detail; prior exposure to financial data, cost tracking, invoicing, budgeting, or related administrative work is preferred.
  • Strong ability to collect, organize, consolidate, and maintain project data and documentation accurately.
  • Proficiency in Microsoft Office, particularly Excel, Word, Outlook, and Teams.
  • Ability to maintain trackers, reports, spreadsheets, project records, and supporting documentation.
  • Strong organizational and follow-up skills with the ability to manage multiple deadlines and priorities.
  • Strong written and verbal communication skills in both English and Chinese.
  • Ability to communicate and coordinate effectively with project teams, engineers, management, vendors, and other stakeholders.

Preferred Qualifications

  • Previous experience in document control, project administration, data coordination, finance/accounting support, project controls, or construction administration.
  • Experience preparing or maintaining Excel-based reports, cost trackers, document logs, project-status reports, or similar datasets.
  • Familiarity with construction, engineering, semiconductor, manufacturing, or project-based environments.
  • Experience working with invoices, purchase records, budgets, cost data, procurement records, or other financial/project information is a plus.
  • Familiarity with SharePoint, Smartsheet, Procore, Autodesk Construction Cloud, Bluebeam, or similar project/document-management systems is preferred.
