We are seeking a highly organized and proactive Executive Assistant to support two of our dynamic Agency Partners. In this critical role, you’ll serve as a right-hand partner, managing day-to-day operations, handling high-level client interactions, and coordinating media and new business activities. The ideal candidate is a skilled communicator, exceptionally organized, and adaptable—able to pivot quickly between projects while maintaining meticulous attention to detail.

Responsibilities

What you’ll do:

  • Enable executive effectiveness. Serve as a strategic partner to two of our Agency Partners, managing complex calendars, prioritizing meetings, media engagements, client interactions, internal team sessions, and coordinating travel arrangements to maximize productivity and strategic impact.
  • Drive operational efficiency. Streamline administrative processes, coordinate team meetings, prepare agendas, track action items, and ensure seamless execution of client work and internal initiatives.
  • Support client and business development efforts. Manage pitch schedules, coordinate proposal preparation, conduct research on potential clients and industry trends, and support strategic initiatives to enhance client engagement and business growth.
  • Amplify media and thought leadership efforts. Coordinate media appearances, speaking engagements, and external communications, including drafting thought leadership content, social media posts, and presentation materials.
  • Foster strong client relationships. Serve as a key point of contact between Partners and high-profile clients, handling communications with professionalism and discretion to maintain and strengthen relationships.
  • Optimize workflow and project execution. Track deadlines, deliverables, and project timelines while collaborating with internal teams to ensure smooth and efficient operations.
  • Maintain confidentiality and professionalism. Handle sensitive client and business information with the highest level of discretion, ensuring a high standard of professionalism in all communications and interactions.

Qualifications

What we’re looking for:

  • Proven executive support experience. You bring 5+ years of experience as an Executive Assistant, preferably supporting senior executives or C-suite leaders in a fast-paced environment.
  • Exceptional organizational and time-management skills. You excel at multitasking, prioritizing tasks, and ensuring seamless execution of multiple projects.
  • Outstanding communication skills. You have strong written and verbal communication abilities, with the professionalism to interact confidently with clients, media, and internal teams.
  • Proactive and resourceful mindset. You anticipate needs, take initiative, and find creative solutions to challenges with minimal direction.
  • Tech-savvy and adaptable. You are proficient in Microsoft Office, Google Workspace, and project management tools; familiarity with CRM systems is a plus.
  • Discretion and confidentiality. You have experience handling sensitive information with the utmost professionalism and confidentiality.
  • A strategic partner mindset. You thrive in a role where you can contribute beyond traditional administrative tasks, helping drive efficiency and impact at an executive level.

The anticipated salary range for this position is $75,000 – $90,000.  This role is also eligible for an annual discretionary bonus.
