Novare Executive Assistant

Novare is a national consortium of mission-driven, not-for-profit senior living organizations, committed to accelerating member potential through collaborative leadership.  The Executive Assistant serves as a strategic partner to the President of Novare, providing high-level administrative, operational, and strategic support that ensures organizational effectiveness and enhances the impact of Novare’s initiatives.

This role requires exceptional discretion, critical thinking, and a proactive mindset. The Executive Assistant will independently manage projects, provide governance and financial support, and serve as a liaison with senior executives and external stakeholders. This individual will represent the President and the organization with professionalism and maturity, exercising sound judgement in a dynamic environment. This is a hybrid position that requires occasional travel (approximately 4 trips annually) and will report to Novare’s President.

Essential Functions:

  • Strategic and Executive Support: Acts as a trusted advisor to the President by anticipating needs, supporting decision-making, and ensuring alignment of activities with strategic priorities. Independently initiates and manages strategic projects from inception to completion with limited supervision. Drafts high-impact correspondence, reports, and presentations; synthesizes complex information to support executive-level communications and board engagement.
  • Governance and Leadership Liaison: Supports the President and Chair in facilitating Governance Committee operations, including maintaining official records, tracking term limits, supporting Governance Committee onboarding, and ensures policies and procedures are executed, filed, and up-to-date. Exercises discretion when handing confidential matters and communicating with the Governance Committee, CEOs, and strategic partners. Supports the successful onboarding of new Members.
  • Communications and Member Engagement: Serves as the point of contact between Novare leadership, members, and external partners, ensuring the consistent and timely dissemination of information. Leads deployment of key internal and external communications including newsletters, announcements, and branded materials that reflect Novare’s voice and values.
  • Meeting and Event Coordination: Plans, coordinates, and manages calendars, events, and activities for Novare. Supports 8 in-person meetings annually with 10-30 participants per meeting. Seeks input from Novare CEOs and other staff, develops agendas, coordinates external speakers, develops presentations, plans and manages logistics, attends meetings and takes minutes, and troubleshoots any issues that might arise. Conducts surveys, as needed.
  • Financial Oversight: Manages operational budgets, monitoring expenses, and preparing financial reports in collaboration with the finance team. Processes reimbursements and payments with precision, ensuring fiscal responsibility and documentation compliance.
  • Operational Excellence: Improves and implements administrative systems, processes, and best practices that enable the President and organization to function at a high-level. Maintains organized and secure files, databases, and records related to member data, Governance Committee documentation, and strategic initiatives.

QUALIFICATIONS AND SKILLS:

Required:

  • Proven experience (5+ years) supporting senior executives or C-suite leaders in a high-stakes environment
  • Exceptional organizational and problem-solving skills with the ability to make informed decisions independently
  • High emotional intelligence, professionalism, and ability to maintain confidentiality.
  • Strong written and verbal communication skills with executive presence
  • Proficient with Microsoft Office Suite (Word, PowerPoint, Excel, Teams), Zoom, and Adobe Acrobat Pro
  • Demonstrated success in managing cross-functional projects and working with governance bodies
  • Proactive self-starter who is self-directed in their work. Able to identify opportunities, begin projects independently, and work with minimal supervision. 
  • Effective organizational and multi-tasking abilities with attention to detail. Ability to manage multiple priorities and competing demands.

 

The salary range for this position is a good faith estimate of the range Mather reasonably expects to pay for this position at the time of the posting. The actual wage paid to an individual will vary based on multiple factors, including but not limited to specific skills or certifications, years of experience, geographic location and market changes.  Holiday Bonus eligibility, where applicable. The position is also eligible to participate in Mather benefit plans.

Salary Pay Range

$75,000 - $95,000 USD
