About the role:

Under the supervision of the EVP, General Counsel, the Subpoena and Insurance Analyst is responsible for handling incoming and outgoing service of process (subpoenas, garnishments, levies executions, etc) workflows, as well as insurance renewal and claim data collection.  The role will also support discovery related tasks for matters where MCB is a party.  The role requires the ability to work independently as well as collaborate and support other members of the legal team. The Subpoena and Insurance Analyst must be able to handle complex tasks and projects under supervision, procuring insurance and compiling claims/proof of loss preferred. The Analyst plays a key role including but not limited to preserving records, other evidence, collecting discovery, liaising with outside counsel, coordinating with governmental proponents of process, responding to subpoena requests, responding to claim letters, drafting written correspondence. This position will report directly to the General Counsel and will also work closely with the Litigation Specialist and two attorneys.

Duties and responsibilities of the job include the following (but is not limited too):

Litigation:

Service of Process Management:

  • Receive, review, and log all incoming legal documents, including subpoenas, summonses, complaints, and other legal notices.
  • Conduct preliminary assessments of the documents to identify the appropriate internal or external action.
  • Coordinate with internal departments to ensure relevant parties are notified and receive the required documentation.

Legal Support, Document Tracking and Management:

  • Maintain an organized and up-to-date tracking system for all served documents, ensuring timely responses and compliance with deadlines.
  • Keep accurate records and files for auditing and regulatory review, maintaining confidentiality and data integrity.
  • Respond to status requests and provide updates to internal teams on pending or completed service of process matters.
  • Actively participate in document collection and production, deposition preparation, hearings and trials.
  • Organize and maintain case files using a variety of automated procedures.
  • Assist attorneys in preparing matters for counsel review.
  • Work with internal departments to manage, review, retrieve and compile discovery production.
  • Prepare legal documents such as releases, letters of request and settlement papers.
  • Preparation and redaction of exhibits.
  • Assemble documents for service and filing.
  • Coordinate production of documents with in-house, outside counsel and proponents of third party process, including law enforcement and other governmental officials.
  • Preparation of documents for production.

Insurance:

  • Handle claim loss analysis, documentation, submission, and follow to closure.
  • Process claims where money is due for damages.
  • Support collection, review, and production of internal information for litigation, transaction, and regulatory support.
  • Track and process renewals and endorsements.  Present proposals to General Counsel.
  • Coordinate certificates of insurance for special events, landlords, suppliers and RFPs.
  • Calculate all general insurance expenses and assist with the insurance budget.
  • Work with internal audit and external agencies to provide insurance documentation for audit and compliance matters. 
  • Work directly with insurance brokers, insurance carriers and lines of businesses related to insurance needs.
  • Annually set up meetings with the broker and lines of business for insurance training and discussions prior to renewals of Cyber and Directors and Officers insurance.
  • Annually train the Retail group on incident prevention and reporting incidents.
  • Ensure insurance procedures and workflows are well documented and kept current.
  • Support Legal staff in reviewing and proposing insurance requirements in agreements per the direction of the General Counsel or members of the Legal Department.

Research:

  • Assist legal team in conducting legal research to aid  in the preparation of responses or necessary documentation for legal or regulatory requests.
  • Utilize databases for searches and document retrieval.
  • Conduct site checks and case pulls using Lexis and/or Westlaw databases.
  • Draft and review basic legal documents, including responses to subpoenas and other court-related filings, under the supervision of an attorney.

Communication and Coordination:

  • Coordinate with external parties, including law firms, regulatory agencies, and court representatives, on matters relating to service of process.
  • Communicate effectively with internal stakeholders, including risk management, compliance, and legal teams, to clarify requirements and provide process updates.
  • Act as a liaison between the Bank and external service of process vendors as needed.

Compliance and Best Practices:

  • Stay current on relevant laws, regulations, and industry best practices related to service of process.
  • Assist in the development of  internal policies, procedures and related working documents to support and ensure alignment with the Bank’s compliance and risk management policies.
  • Contribute to process improvement efforts which will implement, update and enhance existing business or work processes, improve efficiency and management of regulatory compliance. 
  • Other duties as determined by the General Counsel.

Preferred experience, education, and qualifications:

  • Bachelor’s degree; or equivalent experience
  • Minimum 2 to 5 years of relevant work experience, preferably in a banking environment 
  • Prior work experience as Legal Secretary, Analyst or Junior Paralegal strongly preferred
  • Proven explementary administrative skills are required.
  • Excellent attention to detail and organizational skills required.
  • Strong teamwork, interpersonal skills, and ability to communicate well across all levels.
  • A self-starter with ability to prioritize workflow to ensure deadlines are met and ability to function efficiently under pressure, strong project management skills.
  • Demonstrated ability to adhere to deadlines.
  • Strong interpersonal, analytical and organizational skills.
  • Exceptional written and verbal communication skills.
  • Ability to work independently and on a team in a fast-paced environment under strict deadlines.
  • Effectively manage multiple responsibilities and coordinate several activities at once.
  • Able to reprioritize dynamically, and grow skill set to meet evolving business needs.
  • Strong research skills.
  • Proficiency in using Microsoft Office and the internet.
  • Familiarity with online document management systems.
  • Excellent document management skills with attention to detail and accuracy.
  • Demonstrated proficiency in document management systems and research, while ensuring all documentation is accurate and organized.

Potential Salary: $80,000 - $110,000 annually

This salary range only reflects base wages and does not include benefits, bonus, or incentive pay. Salary bands are purposefully wide ranging to encompass the different factors considered in determining where a candidate falls in the range, including but not limited to, seniority, performance, experience, education, and any other legitimate, non-discriminatory factor permitted by law.
