The Role

Modern Health is looking for a highly organized Circles Operations Associate to join our Circles team. Circles are live, virtual group sessions led by Modern Health providers that give members a space to connect, learn, and receive support around topics that matter most to them and to our clients.

In this role, you will focus on the operational delivery of Circles. You will partner closely with our Operations, Clinical Care, Client, and Provider teams to ensure Circles are launched, staffed, and executed seamlessly. Your work will directly impact the experience of our clients, members, and providers by ensuring that every Circle runs smoothly, feels supported, and reflects Modern Health’s high standard of care.

The ideal candidate thrives in coordinating complex logistics, enjoys working with multiple stakeholders, and is energized by building reliable systems and processes that can scale globally.

What You’ll Do

  • Own the end-to-end operational delivery of Circles, from initial request and scheduling through live session execution and post-session wrap-up.
  • Coordinate scheduling and logistics for Circles across time zones, including session calendars, registration links, communications timelines, and Zoom or webinar setup.
  • Partner with Client-facing teams to scope Circles requests, set realistic expectations and timelines, and ensure program details align with client goals and member needs.
  • Collaborate with Provider Operations and Clinical Care teams to resource and schedule the right providers for each Circle, ensuring provider availability, fit, and diversity of expertise.
  • Prepare providers for sessions by sharing operational details (timelines, tech, logistics, audience context) and ensuring they have what they need for a smooth session.
  • Serve as an operational point of contact during live sessions, monitoring attendance and engagement, and helping triage or route any logistical or technical issues.
  • Manage and update operational documentation for Circles (playbooks, runbooks, templates, and FAQs) so internal teams and providers have clear, current guidance.
  • Track and maintain accurate records related to Circles delivery (e.g., session schedules, provider assignments, attendance data, post-session notes) using tools such as Airtable and other internal platforms.
  • Support the processing and verification of provider logistics related to Circles (e.g., tracking relevant agreements, confirming orders/workflows, and ensuring accurate details for downstream processes).
  • Collect and organize qualitative and quantitative feedback from clients, members, and providers to identify trends and opportunities to improve the Circles experience.
  • Partner with cross-functional teams (Operations, Clinical Care, Client Success, Provider Network, Product/Tech) to streamline workflows, refine tools, and improve operational efficiency.
  • Contribute to special projects aimed at scaling Circles globally — such as process improvements, automation opportunities, and new operational experiments.

Who You Are

  • 1–2 years of experience in operations, program coordination, event production, customer success, or a related role, ideally at a technology, healthcare, or high-growth company.
  • Excellent organizational skills and impeccable attention to detail, with a track record of managing projects that involve multiple stakeholders (e.g., clients, members, and providers).
  • Strong verbal and written communication skills and sound business judgment; comfortable representing operational details clearly to internal teams, providers, and occasionally clients.
  • Experience managing many tasks and competing deadlines; you are comfortable prioritizing, context-switching, and keeping work moving in a fast-paced, remote environment.
  • Proven ability to work cross-functionally and build strong, collaborative relationships with diverse partners (e.g., clinical, client, and operations teams).
  • Calm and resourceful under pressure, especially when supporting live virtual events or time-sensitive client needs.
  • Familiarity with tools like Zoom and Airtable; experience with platforms such as Zendesk, CRMs, or other support/operations tools is a plus.
  • Ability to thrive in a rapidly changing environment, continuously learn, receive constructive feedback well, and manage multiple projects with a strong sense of urgency.
  • Experience managing customer or member support with quick response times and comfort handling urgent or sensitive requests is a plus.

Compensation for the role will depend on a number of factors, including a candidate’s qualifications, skills, competencies, and experience and may fall outside of the range shown. Ranges are not necessarily indicative of the associated starting pay range in other locations. Depending on the scope of the role, some ranges are indicative of On Target Earnings (OTE) and includes both base pay and commission at 100% achievement of established targets.

Pay Range

$40,365 - $47,450 USD
