The Role
The Office Supervisor is an essential team member that supports day-to-day office and administrative operations while focusing on efficiency and time management. They will be responsible for streamlining all administrative procedures, and controlling warehouse, office and remote inventory and procurement needs. The Office Supervisor will partner with the General Manager and assist with a variety of administrative tasks as delegated.
This position will work closely with multiple stakeholders and departments to ensure all duties are completed while embodying Nabis’ core values. The ideal candidate is an extremely organized self-starter with the ability to multi-task and excellent communication skills. This person will need to adhere to a level of confidentiality as they will support management with documentation and have a high level of access to employee information and data.
As a liaison between the operational departments and at times HR, the ideal candidate has been an office administrator or manager, executive assistant, or a human resources generalist in the past. This is a full time hourly position, on-site Monday - Friday at our Woodlake warehouse.
Responsibilities:
- Welcome visitors as needed: vendors, candidates and team members and help direct them appropriately.
- Manage all supplies, office equipment and general procurement for the Woodlake warehouse and support all managers and supervisors across outbound, inbound, quality, and fleet and facilities.
- Generate weekly and monthly paperwork as requested for accountability measures by management and on-site Human Resources.
- Provide general administrative support for all employees including setting up accounts, scheduling, general maintenance of employee files, and assisting management with corrective action documentation.
- Support operational objectives by generating reports as needed to showcase individual and departmental performance vs. company goals.
- Support payroll department by reviewing, auditing, adjusting and approving timecards in accordance with CA state law, Nabis guidelines and our union contract.
- Manage IT on site from a data consistency standpoint as well as ensuring that tools and systems leveraged by the associates are functioning properly.
- Accept and sort all incoming deliveries, mail, etc., notify team members when necessary, and route mail to recipients .
- Assist in administrative components on-site during hiring events or times of high foot traffic. This also includes supporting the cleanliness of the entire warehouse and office areas, especially when important visits are scheduled.
- Work closely with the Woodlake management team and support objectives and key results that are deemed critical by operations leadership.
- Drive Nabis culture and core values at the company’s most important warehouse.
- Ad-hoc projects as needed and the ability to hop into workflow as requested by management, in any and every department.
Requirements:
- High School diploma or equivalent
- 2+ years experience in an administrative setting
- High attention to detail and proficiency in Microsoft Office and/or GSuite
- A strong sense of ownership, accountability, and discretion
- Excellent verbal & written communication skills
- Must pass a background check
- Must be at least 21 years of age or older
