About the Role:
We’re seeking a dynamic, hands-on Senior Program Manager to support high-impact clinic billing-based process transformation and process improvement projects. This is a critical initiative involving the transition from one billing vendor to another, with a strong focus on program management and operational excellence.
You’ll work closely with leadership, including VPs and Directors, to keep the project organized, on track, and moving forward—allowing the Project Director to focus on strategic direction while you handle the day-to-day coordination. This role requires strong project management skills, a Type-A attention to detail, and an ability to thrive in a fast-paced, evolving environment.
Key Responsibilities:
- Lead day-to-day project coordination for a major client billing process transition and vendor implementation.
- Manage Smartsheets, Gantt charts, and project tracking tools to ensure all tasks and milestones are met.
- Proactively follow up with stakeholders and internal team members to gather updates and ensure accountability.
- Support internal communication, including updates to leadership and stakeholders (VPs and Directors).
- Develop and maintain project documentation, timelines, status reports, and presentations (PowerPoint/Google Presentations).
- Facilitate the operational components of the project—tracking deliverables, resolving bottlenecks, and keeping things on schedule.
- Adapt to changing project needs and support process improvement efforts to make the new vendor solution fit business requirements.
- Organize and structure the project workflow so leadership can focus on high-level decision-making.
What You’ll Bring:
- 5-7+ years of project management and/or program management experience, preferably in healthcare operations, billing, or program launches and large integration initiatives.
- Proven experience managing complex projects in fast-paced environments.
- Strong knowledge of project management tools: Smartsheet (must-have), Gantt charts, Microsoft Visio, flowcharts, etc.
- PMP certification is highly preferred (but not required).
- Exceptional organizational and communication skills—comfortable working with VP-level stakeholders.
- Experience developing presentations and status updates for executive audiences (PowerPoint/Google Presentations proficiency is a must).
- Billing expertise or experience in billing transitions is a plus.
- A proactive, self-starter attitude—ready to hit the ground running midway through a project.
- Resilient, adaptable, and professional—able to take feedback and pivot as needed.
- You are a doer, someone who wants to work and takes pride in keeping things moving forward.
