Trade Show & Meetings Specialist

Summary:
NISC’s Trade Show & Meeting Specialist is responsible NISC’s presence in 300+ statewide, regional, and national communication and energy tradeshows and is responsible for budget development and oversight in close coordination with NISC’s Lead Senior Meeting & Event Planner. In addition, this role supports NISC’s Member Information Conference which brings together more than 2,500 NISC Members, subject matter experts, partners, and employees for a three-day learning conference. This position works across NISC, including close work with NISC’s communications, sales, and account management teams.
Work Schedule:
- Hybrid (after an initial training period) from our Lake Saint Louis, MO office location.
- Hybrid Schedule: Minimum of working 3 days per week in the office and ability to work up to all 5 days a week in the office, as needed.
- Required Days from an Office Location: Tuesday and Wednesday - the third required day will be up to the candidate and their supervisor to choose.
Essential Duties:
- Assist and coordinate NISC’s major event presence including advertising, materials, space utilization, booth presence, activities, schedule, shipping logistics, etc.
- Develop and manage the budget for all NISC major trade shows, events, and sponsorships nationwide.
- Maintain database for trade shows including staff attendees and speakers, pre- and post-event data, giveaways, and budget.
- Work as a liaison to sales and account management to provide attendee lists and proof marketing materials.
- Assist in coordinating pre-planning meetings with project teams.
- Assist in the onsite facilitation of meetings/events including housing, food service, transportation, material preparation, registration, and signage.
- Facilitate and follows up with Member/Customers on requests regarding NISC sponsored events, meetings, and workshops.
- Gather records and maintain complex databases.
- Serve as a liaison to national event software companies to help facilitate development and management of event websites.
- Research and select giveaways for trade shows.
- Assist in the design of trade show booths.
- Perform work duties outside regular business hours, as needed, to meet internal and/or customer needs.
- Ability to travel up to six times a year for 2-7 days.
- Other duties as assigned.

Knowledge, Skills, & Abilities Preferred:
- 3+ years of related experience preferred
- Basic level knowledge of meeting industry contracting standards and practices.
- Basic level knowledge of marketing and event disciplines.
- Basic level knowledge of emergency preparedness procedures.
- Basic level knowledge of Project Management processes and theory.
- Basic level knowledge of Service Level Management (SLM) best practices.
- Basic level knowledge of the Utility or Telecom industry.
- Strong verbal and written communication skills.
- Excellent telephone etiquette and an ability to deal effectively with Member/Customers.
- Strong ability to multitask and time manage.
- Strong research and problem-solving skills.
- Strong Attention to Detail.
- Basic level knowledge of business-related software applications and services including Cvent, Passkey, Map Your Show, and Smartsheet.
- Basic level understanding of technical tools, such as the Learning Management System, for direct support of Learning Center initiatives.
- Moderate level knowledge of event management software.
- Strong ability to negotiate.
- Strong ability to organize and prioritize.
- Basic level ability to interact positively with internal and external contacts.
- Ability to work independently, as well as in a team environment.
- Stay abreast of innovative changes in the professional meeting industry to recommend relevant improvement to NISC meetings/events.
- Strong ability to maintain professionalism and ability to work in a stressful, fast-paced work environment.
Education Preferred:
- Associate degree in a business-related field or equivalent experience
