The Role:

We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide top-tier administrative support to our CEO and light administrative support to our executive leadership team. This role is critical to enabling the CEO to operate at peak effectiveness and ensuring that leadership team operations run smoothly and efficiently. The ideal candidate will be highly organized, proactive, and capable of managing both routine tasks and more strategic responsibilities such as meeting agendas, action tracking, and follow-ups. 

What You'll Do:

Support for the CEO

  • Manage and optimize the CEO’s calendar, including scheduling, prioritizing, and adjusting meetings.
  • Prepare materials for meetings, presentations, agendas, documentation, and communications on behalf of the CEO and cross-functional meetings.
  • Support inbox management and help triage and draft key communications.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Track key follow-ups and action items, ensuring the CEO stays ahead of commitments.
  • Collaborate with executives to build and refine SLT meeting agendas. Track key decisions, follow-ups, and action items, ensuring accountability and momentum between sessions. 
  • Organize and manage executive meetings, including minute-taking as needed

Other Key Responsibilities

  • Support for Other Executives : Provide light calendar coordination and scheduling support for other C-level executives. Maintain executive team contact lists, org charts, and other administrative documents.
  • General Administrative Duties: Act as a liaison between the CEO and internal/external stakeholders. Coordinate with internal departments on behalf of the CEO or executive team.
  • Special Projects: Assist with special projects and ad hoc tasks to support executive effectiveness and team operations.
  • Company Meeting Support: Help arrange larger company meetings such as All Hands, department meetings and other key meetings, supporting with agenda, attendees, and scheduling
  • Board Coordination: Help schedule board visits, agenda coordination, and notes; ensure board members are well-situated during their visits. Track board follow-ups and ensure timely delivery of any requested documentation or updates
  • Event Planning: Assist in planning and organizing company events, conferences, and other activities involving the executive team. Help coordinate logistics for leadership offsites, team meetings, and strategic planning sessions
  • Ad Hoc Administrative Requests: Assist with handling ad hoc executive requests like booking rooms, ordering meals, arranging meeting materials, etc.
  • Travel Coordination: Arrange travel itineraries, accommodations, and transportation for executive team members (if needed)

What You’ll Bring:

  • 5+ years of experience supporting a C-level executive, preferably in a fast-paced or high-growth environment.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • High degree of discretion and professionalism.
  • Proven ability to manage multiple priorities and adapt quickly to changing needs.
  • Tech-savvy; proficiency with tools like Google Workspace, Slack, Zoom, and calendar management platforms.

Preferred Qualifications

  • Experience supporting multiple executives simultaneously.
  • Familiarity with the dynamics of startups or high-growth businesses.
  • A proactive mindset with a “no task too small” attitude.
