Logistics Director, B2B

Summary of Position:
NVE Experience Agency seeks an Event Logistics Director to lead large-scale B2B programs from concept through execution, with a focus on executive events and experiences. Primary responsibilities include the refinement and delivery of all logistics and operations elements from planning to delivery. This role focuses on directing internal teams and vendor partners, and managing essential event elements including venues, premium hospitality, catering, and transportation.
Role Priorities:
Project Delivery
- Refine and deliver all logistics and operations elements from planning to execution.
- Logistics and Operations: Manage venue, convention center, and hotel relationships, including space holds, floor plan approvals, in-house AV and exclusive vendors, union labor rules, and F&B minimums; Lead research, outreach, management, and contracting for comprehensive transportation plans, including flights, ground transport, parking, and shuttle schedules for staff, VIPs, and attendees; Oversee and manage event third party staffing (security, brand ambassadors, registration vendors) including managing RFPs, vendor negotiation and contraction, and event execution.
- Hospitality: Direct all F&B operations: negotiate with restaurants and catering vendors, design menus and culinary experiences, and manage service timelines to ensure high-quality delivery; Design and oversee exclusive experiences for VIPs, speakers, or talent, including private lounges, dedicated concierges, and specialized gifting; Act as the ultimate guardian of the guest journey, ensuring high touch hospitality for guests.
- Ensure seamless onsite execution and that programs are delivered on time, on budget, and to NVE’s standard.
- Coordinate closely with client stakeholders across marketing, communications, content, IT, and security, and support executive and speaker logistics including rehearsal schedules and content deadlines.
- Partner with creative leadership to ensure financial viability of any/all concepts and creative deliverables.
- Collaborate cross-functionally with the internal project team to build project documentation, and present information to clients for review & approval.
- Work closely with leadership to assess and allocate project resources efficiently.
Client Management
- Manage client relationships, ensuring that all client needs are executed in a timely manner.
- Provide clear ongoing communication to the client regarding roles, responsibilities, scope, budget, and schedules for assigned programs.
Budget Management
- Build and manage logistics budgets from $500K-$1.5MM++, from initial estimate through final reconciliation.
- Set target margins with production leadership, track spend against budget throughout the project, and flag variance early.
- Oversee coordination with internal teams on invoices and vendor payments.
- Support the finance team by ensuring you and your teams close out projects promptly.
- Negotiate directly with vendors, venues, and production partners to secure the best value without compromising the work.
Qualifications:
- 7-10 years of event production experience
- Proven track record leading hospitality and logistics for large-scale B2B events & experiences, including customer or user conferences, industry tradeshows and exhibit footprints, executive summits, and white-glove hospitality programs
- Extensive freelance and vendor network across event hospitality and logistics, including venues, restaurants, vendors.
- Strong written and verbal communication skills
- Strong organizational skills and self-motivation
- Ability to thrive in a fast-paced agency environment
- Proficient with Microsoft and Apple applications and project management software
- Thorough understanding of permitting standards (including but not limited to TPA, Special Event, Fire, Health & Safety, Building & Safety, Noise, etc.) and ability to manage production timelines around permit procurement
- Ability to effectively manage tasks across multiple projects/various clients at the same time
Requirements:
- Must be able to remain in a stationary position 50% or more of the time while working remotely and in a standing position 50% or more of the time while working onsite
- Regularly required to stoop, kneel, bend, crouch and lift up to 25 pounds and occasionally heavier items
- While working onsite, must be able to work outdoors in various weather conditions as needed
- Have a valid Driver’s License
- Available to work weekends and evenings as needed for events
Location: We are a hybrid company with hub locations in Los Angeles and New York City. The ideal candidate is located in Los Angeles or New York City.

Salary Estimation: [$140,000.00 - $165,000.00 per year]
This is an Exempt full-time role. NVE intends to provide a competitive total compensation package which includes a variety of incentives, benefits, growth and developmental opportunities. There are many factors to the presented salary range, including but not limited to - location, departmental budgets, certifications, and overall job-related qualifications.
