Job Summary:
We are seeking a detail-oriented and experienced US Payroll Specialist to manage the administration of our time and attendance, payroll processing, and ensure compliance with federal, state, local, and international payroll regulations while maintaining a strong focus on accuracy and efficiency. The ideal candidate will combine technical expertise in payroll with a strong understanding of HR operations, providing a seamless employee experience across payroll, time & attendance, compliance, and HR support to ensure accurate and timely payroll operations, maintain compliance with company policies and labor laws, and provide exceptional support to employees.

This role is based at our headquarters in Plano, TX, and reports to the Global Payroll Manager.

Key Responsibilities:

  • Responsible for the US Time and Attendance Administration process, including but not limited to:
    • Auditing the day to day entries for hourly and salary non-exempt employees and independently identifying and resolving any discrepancies with managers and employees
    • Ensuring all time & attendance data is transferred accurately for payroll processing
    • Creating and maintaining all time & attendance process documentations
  • Responsible for the US Payroll Administration process, including but not limited to:
    • Processing bi-weekly and weekly payrolls for employees, ensuring payroll changes and time are submitted by the cutoff Monday mornings, reviews and approving the payroll register for accuracy according to payroll changes, and reports any discrepancies to ADP
    • Partnering with the Senior Benefits Analyst to ensure all benefit and 401(k) changes are accurately captured for payroll
    • Collaborating with Finance to ensure all necessary reports are provided for money movement
    • Creating and maintaining proper payroll documentation for auditing purposes
  • Responsible for the payroll tax administration process, including but not limited to:
    • Reviewing accuracy of federal and state income related tax calculations, and reconciling payroll deposits, tax withholdings, wage garnishments, etc.
    • Preparing reports of employee earnings, taxes, deductions, and employer’s contribution for social security and unemployment
    • Reviewing and approving payroll tax filings, including 941s, W-2s, and other required reports.
    • Preparing special reports for internal and external stakeholders, leveraging payroll data analytics.
    • Leading payroll tax audits and providing accurate documentation to auditors. 
    • Ensuring compliance with tax jurisdictions, maintaining tax IDs as required by jurisdictions and communicating with jurisdictions when necessary
    • Overseeing tax notices in ADP SmartCompliance and direct notices to company
  • Reviews and stays up to date on federal, state, and local laws. Audits all time & attendance and payroll processes to ensure compliance with company policies and labor laws, developing processes/procedure enhancements where needed.
  • Responsible for monitoring and maintaining payroll system integration data and works directly with ADP and the Integration Administrator to research and resolve any system integration issues.
  • May provide back-up support to other members of the HR Operations team when needed.
  • Ability to work overtime including nights, weekends, and holidays based on business needs.

Qualifications:

  • Bachelor’s degree with 5+ years of US multi-state payroll and payroll tax experience
  • OR 6+ years of US payroll administration experience
  • Familiarity with ADP payroll and WFM systems
  • Strong understanding of US payroll regulations, tax compliance, and labor laws
  • Proficient in excel and lookup tables
  • Excellent attention to detail and organizational skills
  • Ability to handle sensitive and confidential information
  • Strong communication skills for interacting with employees, managers, and vendors
