ABOUT THIS OPPORTUNITY

onX is seeking a Recruiting Coordinator (Part-Time, Temporary) to support a smooth, efficient hiring process for candidates and internal teams. In this role, you’ll focus on interview scheduling, coordination, and recruiting operations support as part of the Talent Acquisition team, helping ensure we can hire high-quality talent in a consistent and timely way. You’ll take ownership of scheduling logistics and key handoff points in the hiring process, collaborate closely with Recruiters, Hiring Managers, and People Operations, and help keep hiring processes moving forward in a fast-paced, evolving environment. This role will report to the Head of Recruiting.

WHAT YOU'LL DO
Essential Job Duties & Functions

Interview Scheduling & Coordination (Primary Focus):

  • Own end-to-end interview scheduling across multiple roles and teams
  • Coordinate calendars for candidates, interviewers, and hiring managers across time zones
  • Manage scheduling logistics within Greenhouse (ATS) and Google Calendar
  • Communicate clearly and promptly with candidates to confirm availability and share interview details
  • Troubleshoot scheduling conflicts and last-minute changes with a high level of responsiveness
  • Ensure a seamless and positive candidate experience throughout the interview process

Offer & Pre-Onboarding Support:

  • Ensure all required pre-employment steps are completed in a timely manner
  • Maintain accurate candidate and hiring data within Greenhouse
  • Support the transition of new hires from Recruiting to onboarding workflows, ensuring a smooth and organized handoff

Interview Operations & Enablement:

  • Track and maintain completion of interviewer training across the company, ensuring new hires complete required training
  • Release and manage interview projects/take-home assignments for candidates (primarily via GitHub)
  • Partner with the Recruiting team to support consistent and scalable interview processes

Job Posting & Recruiting Operations Support:

  • Manage and maintain job postings across platforms (e.g., Greenhouse, LinkedIn, job boards), ensuring accuracy and consistency
  • Post and refresh roles on LinkedIn and other channels to support candidate pipeline generation
  • Partner with Recruiters to ensure postings are aligned with hiring priorities and employer brand standards

ASSIGNMENT DETAILS

  • Duration: This fixed-term position is expected to start immediately and last approximately 3 months, with a possibility of short extension depending on business needs. 
  • Weekly Hours: We anticipate this role will work 20 hours weekly.
  • Assignment Completion Bonus: Upon the successful completion of your full assignment, this position is eligible for an assignment completion bonus at the end of the contract.

WHAT YOU’LL BRING

  • 1-2+ years of experience as a Recruiting Coordinator in a fast-paced environment with high attention to detail and candidate experience, including managing complex interview scheduling across multiple stakeholders and time zones.
  • Availability to work a consistent part-time schedule during core business hours (Mountain Time), Monday–Friday, in a distraction-limited environment that supports timely communication, scheduling coordination, and responsiveness.
  • Hands-on experience with an Applicant Tracking System (ATS), including interview scheduling and candidate management; Greenhouse experience is strongly preferred.
  • Demonstrated ability to operate with a high level of accuracy and attention to detail in a role where small errors can impact candidate experience.
  • Strong organizational skills with the ability to prioritize and manage multiple workflows simultaneously.
  • Clear, professional, and responsive written communication skills when working with candidates and internal stakeholders.
  • Experience partnering with cross-functional teams (Recruiters, Hiring Managers, People Operations) to keep processes moving forward.
  • Comfortable navigating ambiguity and adjusting quickly as priorities shift.
  • Experience supporting pre-employment processes (e.g., background checks, onboarding coordination) is preferred.
  • Demonstrated curiosity and comfort exploring new tools and technologies (including AI) to improve processes and increase efficiency.

HOW YOU’LL BE COMPENSATED

onX is committed to compensating all employees fairly and equitably for their contributions. For this position, applicants can expect to make between $22 to $24 per hour upon hire. The pay range will vary based upon experience, skills, certifications, education among other factors as required in the job description. In addition, full-time onX employees are eligible for a grant of common share options with a vesting schedule and an annual bonus of 10% based on company performance.
