Job Description
Optimus seeks a dynamic, detail oriented, organized Office Administrator to help us to reach our bold growth goals assisting fleets in reducing their carbon emissions and achieving environmental sustainability goals. This is a part-time hourly position ($30.00-32.90) to be based in Pittsburgh, PA. The estimated schedule will be four hours a day/five days a week, but this could be flexible on the number of days with a minimum of 20-25 hours a week.
The ideal candidate for this position is a highly motivated, results-oriented individual with a strong ability to get things done. They will be an independent worker capable of efficiently managing their workload and schedule while also being a collaborative team player. Proficient computer skills are essential, as are strong interpersonal and communication abilities.
This role requires a high level of organization and attention to detail to handle routine administrative tasks. Additionally, the successful candidate will be adaptable and willing to take on new responsibilities as needed, demonstrating a flexible and proactive approach to problem-solving.

The ideal candidate will be a problem-solver who can proactively identify and implement solutions to streamline administrative processes and improve operational efficiency, ultimately contributing to the company’s growth. Job Responsibilities:
- Manage basic office administration and proactively identify and implement efficient, effective solutions for continuous improvement.
- Coordinate in-house and off-site events, including lunch scheduling and pickup, venue acquisition, etc.
- Manage existing vendor relationships for office supplies, facilities support, company gear, food, etc.
- Coordinate with the landlord on facility-related issues, such as maintenance requests, building access, etc.
- Provide basic IT support to employees, including troubleshooting hardware and software issues.
- Assist in setting up new employee workstations.
- Maintain access and operation of office systems (phone, software, etc.).
- Provide new hire systems training.
- Assign, monitor, and inventory office equipment.
- Arrange travel arrangements for candidates and internal staff.
- Provide general administrative support to the organization at large including the timely performance of repetitive tasks.
- Maintain a high level of professionalism and discretion when handling confidential information.
Qualifications:
- 2-4 years of previous experience in office management.
- Strong organizational and time management skills.
- Proficiency in basic computer software (Google Suite, Microsoft Office, etc.).
- Excellent interpersonal and communication skills.
- Ability to multitask and prioritize tasks effectively.
- Basic IT troubleshooting skills.
- Experience with travel booking and event planning preferred.
- Ability to work independently and as part of a team.
- Comfortable with repetitive tasks and the ability to adapt to changing priorities.
- Strong attention to detail.
