Skills Required:
- Proficient Spanish language speaker preferred – able to read, write, and communicate effectively in Spanish
- Highly detail-oriented – able to manage large volumes of data and documents with accuracy and attention to detail.
- Strong organizational skills – ability to manage multiple tasks and prioritize responsibilities efficiently.
- Tech-savvy – proficient with multiple digital platforms and tools or ability to learn, including:
- Excel and Google Sheets (data entry and data management)
- Various online portals - LightReach, Department of Energy (DOE), Aurora
- Various solar CRMs (ClickUp, Monday.com, Smartsheet, etc)
- Problem-solving abilities – able to identify discrepancies in data and troubleshoot issues (such as tracking down missing documents/data, or responding to DOE rejection notices)
- Effective communication – able to communicate with installers and internal team members to gather information, troubleshoot issues, and ensure smooth program operations.
Responsibilities:
- DOE Portal Updates: Upload documents and update data fields and statuses in the DOE portal based on information found in the LightReach portal, shared Google Sheets and automated reports.
- Data Entry: Export data files for bulk uploads to DOE portal and complete quality checks to ensure accurate data and successful uploads. Manually enter data where required.
- Document Management: Download documents from the DOE portal and upload them into shared Google Drive folders (approval/rejection notifications, project status exports). Download documents from the LightReach portal and save using standard naming conventions. Extract PDF pages to save separately or compress PDF files as needed.
- Document Quality Control: Review uploaded documents for completeness (Post-Activation PTO Notifications) and approve the upload in the LightReach portal
- Installer Assignment: Manually assign new beneficiaries to installers in the DOE portal
- Installer Inquiries: investigate installer inquiries relevant to any data found in the DOE portal
- Data Cross-Verification: Cross-reference data between the DOE portal, EPC CRMs, Google Sheets, and Source of Truth tracker to ensure everything matches, and investigate any discrepancies
- General Program Support: Provide additional support to the program team as needed, such as providing admin support for invoicing and accounting needs.
