About The Role:
We’re seeking a proactive, detail-oriented and organized Senior Executive Assistant to provide comprehensive administrative support to our Founder and CEO, Yoky Matsuoka, and contribute to the efficient operation of our organization. In this role, you will manage schedules, coordinate meetings, handle correspondence, and assist in various administrative tasks to ensure smooth and efficient operations across the company.
In this critical role, you’ll be a trusted partner and operational extension of the CEO, responsible for managing complex, shifting schedules, facilitating communications, and ensuring seamless coordination across internal and external relationships, both domestic as well as international. You will anticipate needs, streamline daily operations, and create the space for our leader to stay focused on high-impact strategic priorities.
What You’ll Get To Do:
- Own and proactively manage the calendar for the CEO, including scheduling across multiple time zones with internal and external stakeholders.
- Effectively communicate and partner with various internal and external stakeholders, ensuring smooth collaboration and follow-through on key priorities.
- Liaise effectively with counterparts and team members based out of Japan, on a regular basis.
- Assist in planning and coordination of travel (domestic and international) including itineraries, logistics, meeting prep, and last-minute changes.
- Act independently and with discretion to address issues and make decisions on the CEO’s behalf when appropriate; anticipate needs and take initiative before being asked.
- Work with others to support internal team operations including helping coordinate all-hands meetings, offsites, leadership team logistics, and special projects.
- Execute ad hoc tasks as needed.
What You’ll Bring:
- 7+ years of experience supporting senior-level executives in a fast-paced, high-growth organization.
- Exceptional organizational skills with a keen eye for detail and an ability to manage multiple priorities and deadlines simultaneously.
- Strong interpersonal skills with the ability to build strong relationships with stakeholders, including employees, management team, external partners, and third-party vendors.
- Flexible and adaptable, with a can-do attitude and comfort navigating ambiguity or change.
- Self-starter, independent thinker who accomplishes tasks with agility amid changing priorities and org dynamics.
- Emotional intelligence and professionalism, with a calm and steady demeanor under pressure.
- Ability to maintain confidentiality and discretion in all matters, especially regarding sensitive business and personnel information.
- A strong problem-solver with initiative to work independently to identify issues and recommend solutions.
- Fluency in platforms and tools such as G Suite, Slack, Zoom, and Concur.
- Native Japanese speaking ability is a great nice-to-have skill.

Grade level and salary ranges are determined primarily through the scope and complexity of the role along with a review of the applicant’s experience and skills, as well as alignment with geographic market data and equity with other team members.
