THE OPPORTUNITY:
This Coordinator of Community Engagement position is responsible for advancing the mission of the organization by providing a full range of administrative support to the Community Engagement (CE) department and its ~55 volunteer affiliates across the country. Key responsibilities include providing excellent internal and external customer service, supporting the CE Leadership Team and Community Relationship Team members in various initiatives, and contributing to the achievement of revenue, awareness and patient impact goals. The role involves ongoing support for volunteer recruitment and engagement efforts, assisting with administrative and technical tasks, and helping to implement initiatives across the department.
ESSENTIAL FUNCTIONS:
- Provide administrative support for Community Engagement staff, volunteers, and initiatives. Tasks could include processing invoices, reimbursements, contracts, certificates of insurance, data entry, database management, running and disseminating reports, etc.
- Partner to provide volunteer support during onboarding, training or role deactivation, granting access to email or other systems and resources, ordering supplies, etc.
- Implement best practices for your work within the department based on common requests.
- Maintain a critical understanding of department workflows and efficiencies.
- Coordinate and assist with departmental trainings and meetings.
- Direct communication with volunteers, donors and community members via phone, text and email related to but not limited to recruitment messages, gratitude calls, team captain and fundraising campaigns, etc.
- Perform back-up Community Relationship Manager duties as required.
- Assist in coordinating shipments and deliveries as required.
- Utilize Raiser’s Edge and/or Salesforce database to track constituent relationships and actions, create and maintain volunteer, affiliate and event records and regularly clean-up data.
- Effectively and professionally represent the organization, its vision, image and core values.
- Schedule, attend & participate in various team and department meetings
- Perform miscellaneous job-related duties as assigned
- For employees based in the Los Angeles area, this role requires in-office presence up to one day per week, with additional on-site days as needed for specific projects and events throughout the year. Additionally, the following duties may apply to Los Angeles area employees only:
- Manage and track all deliveries, supplies and inventory for the Community Engagement department
- Coordinate and support special mailings, events and projects from the LA office.
QUALIFICATIONS AND REQUIREMENTS:
The following are the minimum qualifications which an individual needs to successfully perform the duties and responsibilities of this position.
- Bachelor's Degree (BA/BS) from a 4-year accredited university in a related field, or equivalent combination of education, training and practical experience that provides the required knowledge, skills, and abilities required.
- Years of experience may vary based on the position, duties, and responsibilities. Preferred years of experience is 1+ years in non-profit or related field.
- Strong written and verbal communication skills, with a high degree of interpersonal skills.
- Provide excellent customer service.
- Ability to anticipate the needs of staff and volunteers.
- Proficient with Microsoft Word, Excel and PowerPoint required.
- Able to independently judge situations and requests and act accordingly.
- Able to handle multiple tasks with shifting priorities while still meeting deadlines.
- Position continually requires demonstrated poise, tact, discretion and diplomacy.
- Works well in a team environment with all types of individuals.
- Ability to succeed in a fast-paced environment.
- Strong attention to detail and organizational skills.
- Experience with Luminate, Salesforce or other donor database software a plus.
- Excellent work ethic: reliability, responsibility.
SALARY RANGE: ($24-27/hr) PanCAN is committed to providing fair and transparent employee pay. Our compensation policy and practices integrate years of relative experience, skills, job duties, functions, responsibilities, education, certifications, expertise, PanCAN seniority, position/title, department, market conditions, and merit, and may also include geographic location. Our base salaries range from Entry level to Experienced and max at Expert level. The base pay range included herein is specific and germane to the job/position/opening as described within this announcement.
