About the Job

We are commercializing a core technology that will operate in the worst conditions the world’s oceans have to offer for years on end without maintenance or human intervention. Delivering on this mission requires not only elite engineering talent but a small but mighty corporate leadership team that works to ensure an environment that runs smoothly, scales intelligently, and frees our team to focus on solving impossibly hard problems.

As Office Manager, you will own, execute and optimize the day-to-day operations of our workplace. You’ll lead vendor relationships, manage office systems, oversee safety and access control, and continuously improve how we use and care for our shared space. You will also serve as the face of our headquarters for visitors and staff alike, creating a clean, functional, and welcoming environment.

This is a high-trust role for someone who takes pride in creating order, solving logistical puzzles, and leading with hospitality. You’ll work closely with the VP of Operations and cross-functional leaders to ensure our office reflects the excellence and ambition of the people inside it.

Our team of 70 includes team members who have worked at organizations such as SpaceX, Blue Origin, Boeing, Tesla, Apple, Virgin Orbit, Astra, Google, Amazon, Microsoft, New Relic, Bridgewater, Raytheon, Disney Imagineering, and the US Army and Air Force, as well as research universities, startups, and small companies across a range of industries. Responsibilities:

Workplace Operations & Facilities Oversight

  • Own the daily rhythm and functionality of the office environment
  • Ensure shared areas are clean, well-stocked, and aligned with operational standards
  • Oversee all vendor relationships including janitorial services, laundry, office plants, kitchen supply, and office maintenance vendors
  • Coordinate office maintenance and improvement projects, in collaboration with the workplace design and operations team, including filing and following up on work orders
  • Monitor and manage building access and ensure security and safety protocols are upheld

Visitor & Hospitality Experience

  • Serve as the first point of contact for guests, vendors, and new hires
  • Manage sign-in procedures, NDA protocols, and building access
  • Ensure the front-of-house experience reflects professionalism and brand values

Inventory & Procurement

  • Maintain inventory of office and kitchen supplies; monitor usage and restock proactively
  • Source and manage vendors for new equipment or supplies as needs arise
  • Evaluate vendor performance and identify opportunities for cost savings or improved service

Mail, Shipping & Deliveries

  • Oversee mailroom operations, including sorting/distribution of incoming packages
  • Coordinate outgoing shipments, including interoffice and third-party logistics

Safety & Compliance

  • Support implementation of federal and Oregon OSHA standards
  • Coordinate regular safety inspections, emergency preparedness, and evacuation drills
  • Maintain safety documentation and identify opportunities for improvement

Space Planning & Event Logistics

  • Manage desk assignments and space planning for team growth and office turnover
  • Support setup and logistics for all-hands meetings, hiring events, winter/summer party and executive visits
  • Coordinate regular team lunches and ad hoc meal orders (e.g., Spork Bytes)
  • Manage the employee milestone recognition program, including birthdays, work anniversaries, new babies, new homes, new pets, and losses of family members. Use discretion to approve and coordinate thoughtful acknowledgments that reflect our values and culture

Budget & Administrative Support

  • Track and manage the office operations budget in collaboration with the VP of Operations
  • Maintain vendor contracts, reconcile invoices, and provide documentation for accounts payable
  • Recommend process improvements and implement new operational systems as the company scales

Qualifications:

Required

  • 4+ years of experience in office management, facilities oversight, or workplace operations
  • Proven ability to lead vendor relationships, manage logistics, and maintain operational systems
  • Strong communication and interpersonal skills. You lead with professionalism and empathy
  • Excellent time management and ability to juggle competing priorities
  • High level of ownership and autonomy; you anticipate problems and solve them before they arise
  • Demonstrated ability as a systems thinker. You have designed and implemented systems or workflows that increased operational efficiency and order
  • Proficiency in Google Workspace and standard business tools

Desired

  • Experience supporting a technical, research, or engineering-heavy workplace
  • Familiarity with safety compliance programs and access control systems
  • Familiarity with basic AP processes and document routing
  • Experience planning for office growth, relocations, or space optimization projects
  • Background in a fast-paced startup or scale-up environment

Additional Requirements 

  • Intermittently able to work longer hours and weekends to support critical needs. While we expect a lot of each other, we also offer a high degree of autonomy and work-life balance, including unlimited PTO and flexible working hours.

Compensation and Benefits:

If hired for this full-time role, you will receive:

  • Cash compensation of $75,000 - 95,000
  • Equity in the company. We’re all owners and if we’re successful, this equity should be far and away the most valuable component of your compensation.
