About the Role:
The PitchBook legal team has a fun, challenging, and dynamic role supporting a rapidly growing company. We work with stakeholders across the organization on a wide variety of commercial and regulatory legal issues. Although we treat our work with the seriousness it deserves, making it fun is a core value at PitchBook, and the legal team attempts to realize that value and maintain a good sense of humor at all times.
The administrative assistant for PitchBook’s legal team is responsible for managing the assignment of tasks to our attorneys, for the completion of our clients’ compliance questionnaires, for creating and organizing electronic records, for drafting legal documents, and for sending documents for electronic signature. The ideal candidate has impeccable judgment and strong communication and organizational skills, works well with a diverse range of individuals, and understands that the legal team functions as a service provider to the wider organization.
Primary Job Responsibilities:
- Manage the assignment of tasks to attorneys in accordance with the Legal team’s task management system
- Coordinate the completion of our clients’ compliance questionnaires with internal stakeholders
- Iterate on legal team processes to drive efficiency for the Legal team and internal stakeholders
- In response to clients’ compliance questionnaires, provide clients a detailed understanding of PitchBook’s business including how we collect, protect, and display our data; and, when providing these responses, maintain the confidentiality of our trade secrets
- Participate and support requests and calls with our clients’ compliance teams
- Partner with stakeholders across the company to collect information needed to complete our clients’ compliance questionnaires
- Communicate and manage timeline expectations for all stakeholders involved in the completion of compliance questionnaires
- Coordinate documents for electronic signature
- Use Salesforce and other software applications to create electronic records to disseminate information, document important details, and help keep the legal team organized
- Prepare and send form letters including cease and desist, unlawful activities, and Freedom of Information Act requests
- Work collaboratively with other administrative assistants within the organization to provide comprehensive executive support
- Support the vision and values of the company through role modeling and encouraging desired behaviors
- Participate in various company initiatives and projects as requested
Skills and Qualifications:
- Bachelor’s degree or equivalent experience
- 2+ years of administrative support or client service experience
- A demonstrated ability to successfully exercise discretion and succeed when confronted with ambiguity
- Ability to learn and apply highly technical information
- Ability to successfully prioritize and manage multiple projects for different stakeholders in a fast-paced environment
- Ability to partner and collaborate with individuals across the company
- Ability to consistently self-start, learn quickly, and apply proactive critical thinking
- Excellent listening and communication skills
- A demonstrated commitment to delivering high-quality, detail-oriented work
- A commitment to relentlessly high standards and ownership of providing highest quality services to our stakeholders
- Interest in finance or capital markets preferred
- Must be authorized to work in the United States without the need for visa sponsorship now or in the future

Compensation
- This position is non-exempt and paid a salary of $65,000-$75,000
- Target annual bonus percentage: 5%

The job conditions for this position are in a standard office setting. Employees in this position use PC and phone on an on-going basis throughout the day. Limited corporate travel may be required to remote offices or other business meetings and events.
