About the Role:
We are seeking a Travel and Events Coordinator to join the Office of the CEO. This role will coordinate high-level domestic and international travel, executive event planning, and special outings while ensuring seamless, professional support for the CEO and leadership team.
You will proactively manage travel logistics, research and coordinate events, maintain organized digital filing systems for expense reporting, and clearly communicate with travelers and stakeholders.
The ideal candidate excels in dynamic, fast-paced environments, collaborates effectively with other Executive EAs, follows established processes to meet leadership initiatives, and uses AI tools and online research to source the best travel and event options.
Flexibility for occasional international working hours (up to four times per year) and in-office presence (minimum three days per week) is required.
Key Responsibilities:
- Manage all aspects of CEO domestic and international travel, ensuring seamless itineraries and contingency plans.
- Leverage AI platforms and online resources to identify optimal, cost-effective travel logistics.
- Research, propose, and coordinate executive events, team outings, hospitality options, and ticket purchases.
- Maintain organized receipt management and digital filing systems to support expense reporting compliance.
- Communicate clearly and concisely with travelers, leadership, and vendors regarding itineraries, changes, and expectations.
- Collaborate closely with other Executive EAs and cross-functional teams to align schedules, plans, and leadership initiatives.
- Follow established operational processes to ensure consistency and excellence in executive support.
- Monitor real-time travel changes and pivot quickly to adjust plans as needed.
- Support vendor negotiations, venue scouting, and event logistics execution.
- Uphold the highest standards of confidentiality, professionalism, and responsiveness.
What You Bring:
- 3+ years in executive-level travel planning, event coordination, or senior executive support.
- Bachelor’s degree in Business, Hospitality, Event Management, Communications, or a related field.
- Strong organizational skills with keen attention to detail.
- Highly responsive, adaptable, and committed to meeting changing needs with a service-first mindset.
- Excellent interpersonal and communication skills, capable of building trust and collaborating effectively with peers and leadership.
- Ability to manage multiple priorities simultaneously in a fast-paced environment.
- Resourceful and proactive problem-solver with a high level of discretion.
- Tech-savvy with experience using AI tools, travel platforms, digital filing systems, and communication tools.
- Proven experience booking complex international and domestic travel logistics, preferably supporting executive-level clients with knowledge of best practices.
Role Expectations:
- Based in Chicago; minimum 3 days per week in office (5 as needed).
- Flexibility to work international hours up to 4x per year.
- Occasional after-hours availability to accommodate urgent travel changes or event needs.
