Position Summary
As a key member of Putnam’s operations team, the Operations Associate will help drive staffing and capacity management while identifying trends and resourcing needs. Resource management and project staffing are critical to Putnam’s success, benefiting our employees, our business, and our clients. The Operations Associate will also play an integral role in Putnam’s performance review and feedback processes, ensuring that key insights are gathered and effectively incorporated into resourcing decisions. The Operations Associate will work collaboratively with leadership, consulting teams, operations, and HR to understand project, team, and staff needs while driving operational excellence and fostering a high-performance culture.
Responsibilities include, but are not limited to:
Project Administration and Staffing
- Update project resourcing and assignments in Financial Force (Certinia) system.
- Manage and review project schedules for accuracy, cross-checking against project paperwork.
- Assist in the administration of the staffing inbox and project launchpad queue, triaging and escalating inquiries and requests as needed.
- Log system incidents and improvements in ServiceNow and ensure they are resolved to completion in a timely manner.
- Send notification confirmations to assigned project teams.
- Maintain data integrity by noticing trends or inaccuracies and providing solutions for streamlining reporting.
- Assist in managing capacity and utilization dashboard and updating and pulling appropriate data.
- Review and approve project expenses.
- Review and analyze timecard data.
- Support initiatives to improve the staffing experience, including skills tracking and case history expertise.
People Operations
- Provide support for Career Development Committee (CDC) reviews and feedback processes.
- Collaborate with onboarding team to ensure new cohorts are set up in Financial Force.
- Conduct onboarding and offboarding procedures within Financial Force.
- Manage PTO systems, including approving time off in Workday and ensuring its accuracy in Financial Force.
Desired Skills and Experience
- 1-3 years of experience, preferably in a professional services organization.
- A strong service orientation with a proactive approach to problem solving and ability to effectively communicate with stakeholders.
- Ability to pivot and reprioritize effectively in response to evolving business needs.
- Ability to thrive in a global team-based environment while independently driving meaningful impact.
- Strong analytical capabilities; comfort with drawing conclusions from large data sets.
- Experience and understanding of project scoping, resource allocation and management, and project planning.
- Technical competence with Microsoft, Smartsheet, Salesforce.
