Who We’re Looking For

We are seeking a highly organized, proactive, and people-focused Recruitment & HR Coordinator to join our team onsite at our Rockville, Maryland headquarters.

This is a hands-on role for someone who thrives in a fast-paced environment, enjoys wearing many hats, and can manage multiple priorities with impeccable attention to detail. You’ll support recruiting, onboarding, and HR operations while also helping create a welcoming experience for candidates and new employees onsite.

The ideal candidate is a strong communicator and natural people person who is resourceful, adaptable, and comfortable shifting between administrative tasks, recruiting support, and in-person responsibilities as business needs evolve.


Where You’ll Make an Impact

Recruiting Coordination & Candidate Experience

  • Own interview scheduling and logistics across multiple stakeholders and time zones using Microsoft Outlook
  • Serve as a key point of contact for candidates throughout the interview process, providing timely and professional communication
  • Create an exceptional onsite candidate experience, including greeting candidates, coordinating interview-day logistics, providing office and campus tours, and ensuring candidates know what to expect throughout their visit
  • Maintain candidate records, interview feedback, pipeline status, and hiring workflows within Greenhouse and other tools
  • Support job posting creation and management across recruiting platforms
  • Prepare offer letters and coordinate approvals, signatures, background screenings, reference checks, and other pre-employment activities
  • Conduct professional reference checks and maintain appropriate documentation
  • Track multiple open requisitions, candidates, interviews, offers, and follow-up items simultaneously

Recruiting Support

  • Provide additional recruiting support during periods of high volume
  • Source prospective candidates through LinkedIn and other recruiting channels
  • Review resumes and applications against position requirements
  • Conduct initial candidate outreach and, as needed, preliminary screening conversations
  • Partner with recruiters and hiring managers to keep searches moving and identify outstanding actions or bottlenecks
  • Assist with recruiting projects, reporting, and other talent acquisition needs as priorities evolve

HR, Onboarding & People Operations

  • Coordinate new hire onboarding and orientation activities from offer acceptance through the employee's first days onsite
  • Welcome new employees and help provide a positive, organized first-day experience
  • Prepare, distribute, track, and maintain employment-related documentation, including offer letters, onboarding packets, policy acknowledgments, and personnel records
  • Administer electronic signature workflows using DocuSign and Adobe Acrobat Sign
  • Maintain accurate employee records and HR documentation within BambooHR and related systems
  • Assist with benefits administration and employee questions
  • Support employee lifecycle administration, training activities, compliance requirements, and recordkeeping
  • Assist with employee engagement initiatives, company events, and other people-focused programs
  • Generate recruiting and HR reports and maintain accurate data across people systems
  • Identify opportunities to improve recruiting, onboarding, and HR processes as the company grows

Rockville Site Support

  • Serve as a site champion and welcoming presence for candidates, new hires, employees, and visitors
  • Support onsite interviews, onboarding activities, office and campus tours, and other in-person experiences
  • Help coordinate employee events, meetings, and culture-building activities at the Rockville location
  • Pitch in wherever needed to help the Talent and People teams operate effectively in a fast-moving environment

What It Takes

  • 1–3 years of experience in recruiting coordination, HR coordination, talent acquisition, human resources, people operations, or a related administrative role
  • Ability to work onsite at Quantum Space's Rockville, Maryland headquarters
  • Exceptional organizational skills with the ability to manage multiple open tasks, deadlines, candidates, and competing priorities simultaneously
  • Strong attention to detail and consistent follow-through—you are someone who enjoys tracking details and closing the loop
  • Ability to remain organized, responsive, and professional during periods of high recruiting volume and changing priorities
  • Strong interpersonal skills and a genuine interest in creating a positive experience for candidates and employees
  • Confidence interacting with candidates, employees, hiring managers, and senior leaders in person and virtually
  • Experience coordinating complex interviews, meetings, and calendars using Microsoft Outlook
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint
  • Experience administering electronic signature platforms such as DocuSign and Adobe Acrobat Sign
  • Strong written and verbal communication skills
  • Sound judgment when handling confidential candidate and employee information
  • Resourceful, adaptable, and comfortable stepping outside of scope when the team needs support
  • Strong problem-solving, administrative, and customer-service skills

Nice-to-Have Experience

  • Experience using Greenhouse or another Applicant Tracking System (ATS)
  • Experience using BambooHR or another Human Resources Information System (HRIS)
  • Experience with candidate sourcing, resume screening, and preliminary candidate interviews
  • Experience supporting onboarding, employee lifecycle administration, and personnel record management
  • Familiarity with employment documentation, offer letters, onboarding packets, reference checks, and compliance-related recordkeeping
  • Experience supporting recruiting or HR within a startup, aerospace, defense, technology, engineering, or other high-growth environment
  • Bachelor's degree in Human Resources, Business Administration, Psychology, Communications, or a related field
  • Experience coordinating employee engagement, training, company events, or culture initiatives

Base Salary: $70,000 to $95,000

The salary range for this role is an estimate based on a wide range of compensation factors. Actual salary offer may vary based on (but not limited to) work experience, education and/or training, critical skills, and/or business considerations. Highly competitive equity grants are included in the majority of full time offers; and are considered part of Quantum Space's total compensation package.


Additional Requirements

To comply with U.S. Government space technology export regulations, including ITAR, applicants must be a U.S. citizen, lawful permanent resident, protected individual per 8 U.S.C. 1324b(a)(3), or eligible to obtain the required authorizations from the U.S. Department of State.
