- Prepare and support internal and external meetings — create agendas, gather materials, take notes, and manage follow-up actions.
- Serve as an administrative liaison between Raven/Blackbird and external partners, ensuring clear, timely communication and follow-up. Build and maintain strong working relationships.
- Proactively track and coordinate contracts (CDAs, consulting agreements, SOWs) in partnership with Blackbird leadership — including renewals, progress tracking, and billing resolution.
Project Management
- Develop, maintain, and update project trackers for clinical and cross-functional initiatives using tools like Smartsheet, Notion, or similar platforms.
- Track project milestones, budgets, and timelines to ensure timely delivery.
- Create summary reports to communicate key updates, challenges and program status to leadership.
- Anticipate risks, dependencies, and gaps; collaborate with stakeholders to develop mitigation plans.
- Contribute to process improvements to enhance communication, documentation, and efficiency across functions.
Qualifications & Experience
- 5+ years of experience supporting senior executives and/or managing cross-functional projects, ideally within a biotech or life sciences environment. Bachelor’s degree preferred.
- Demonstrated project management experience with proficiency in tools such as Smartsheet, Notion, or others.
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration tools (Slack, Zoom).
- Excellent communication and writing skills with strong attention to detail.
- High level of discretion and professionalism in handling confidential information and multistakeholder relationships.
- Strong time management and organizational abilities; capable of prioritizing multiple competing demands and knowing when to ask for support.
- Comfortable working in a fast-paced, dynamic environment and adapting to changing priorities.
