Office Coordinator

We are looking for an extremely organized, friendly person with a positive attitude to join our growing team! This role requires someone who is hardworking, intuitive, and a great communicator. Our office has exploded in growth over the last two years, and we need someone who can serve our team and oversee the daily operational functions of our office environment to ensure that we are running efficiently.

Responsibilities:

  • Manages the relationships & contracts with various office vendors
  • Oversees ordering and re-stocking of supplies and snacks
  • Coordinates with building managers to oversee office operations
  • Manages all front desk responsibilities, including welcoming and checking guests in and out; answering and directing phone calls; and ensuring office access is secure.
  • Works with Team Managers to coordinate trainings & meetings
  • Plans & organizes fun events like office parties and outings, creating culture-building opportunities
  • Tracks office furniture and responds to requests for supplies
  • Assists with onboarding new hires
  • Provides a warm, welcoming environment for guests & visitors
  • Builds relationships with colleagues and collaborates across departments
  • Maintains a tidy, organized office environment
  • Cultivates a welcoming, respectful culture where everyone is part of the Team
  • Helps coordinate travel arrangements for our C-Suite Leadership Team
  • Other Office improvement projects as needed

Experience and Skills:

  • Event planning
  • Office administration and organization skills
  • Positive attitude and friendly demeanor
  • Excellent written and verbal communication skills
  • Has the ability to balance multiple projects and priorities and manage time well
  • Familiarity with office software and equipment
  • Ability to safely lift, move, and position packages and deliveries weighing up to 35 lbs. on a regular basis.

This is an in-office position in downtown Indianapolis four days/week, with work from home Fridays.
