On-Site Administration Manager
Location: 77079
Pay Range: $45,000 - $50,000 per year
Employment Status: Full-Time
Position Overview
The On Site Administration Manager serves as the liaison between the homeowners’ association (HOA) and its residents; ensuring the smooth administration of community policies, financial management, and resident relations. This role involves such things as enforcing community guidelines through communication and/or violations, managing vendor contracts, managing all work-orders, processing invoices, budget and financial reporting awareness.
Key Responsibilities
- Resident & Community Relations:
- Oversee enforcement of community rules & regulations, bylaws, and architectural guidelines in accordance with HOA policies.
- Work Orders: Input and maintain work orders, provide work orders to the Maintenance Supervisor, follow up on work orders, and produce related reports for the Board Meeting.
- Process and follow through on all ACC requests submitted by homeowners.
- Create and process letters for new tenants regarding the utility account.
- Physically review property twice weekly for violations to enforce HOA Rules & Regulations.
- Prepare and distribute HOA communications, including emergency notices, updates on community matters, and producing the community newsletter.
- Address resident questions and concerns in a timely manner (via phone, email, formal letter, etc.).
- Administrative Operations:
- Oversees Dog Park responsibilities. Tracking registration information, vaccination records, renewals, produce fee income and expense reports, and communications with Dog Park members.
- Oversee Committee endeavors; collaborate with committee chair and members, send notifications, assist with events if needed, assist with tracking income and expenditures.
- Track and place orders for office supplies.
- Become well-versed with RISE management systems & software.
- Maintains physical and electronic filing systems.
- Create a manual for internal Policies & procedures.
- Management and Board Support & Governance:
- Report regular maintenance updates and recommendations to the Facilities Manager for review and direction.
- Maintain records of HOA policies & procedures, board decisions, and legal documents.
- Assemble and distribute meeting packets to the monthly HOA Board meetings.
- Transcribe the Board meeting minutes from notes and recording.
- Perform additional duties as requested by the Management and/or Board members.
Required Skills and Qualifications

Experience:
- At least one year of experience in association management or a related field.
- Proven track record in customer service roles, demonstrating strong client relations and problem-solving skills.

Skills:
- Proficiency in Microsoft Office, Publisher, and property management software (e.g., CINC webaxis or Nabr Network).
- Strong organizational, written, and verbal communication skills.
- Strong problem-solving skills with the ability to identify issues, find solutions quickly, and handle challenges professionally.
- Demonstrate strong interpersonal skills with a friendly, outgoing, and courteous demeanor, fostering positive interactions and excellent customer experiences.

Other Requirements:
- Valid driver’s license and reliable personal transportation.
- Physical ability to lift up to 20 lbs. and perform tasks involving sitting, standing, and walking.
Schedule
- Monday-Friday 8:00 AM - 5:00 PM
Compensation and Benefits
- Pay Range: $45,000 - $50,000 per year
