Shift4 is expanding globally and we're seeking a highly organized and proactive Executive Assistant to provide essential administrative support to senior leadership and multiple departments. This role is critical in driving operational efficiency, managing high-priority tasks, and contributing to company-wide initiatives in a fast-paced, innovative environment.
The ideal candidate is detail-oriented, discreet and thrives in a dynamic setting—serving as a trusted partner to executives while supporting the broader team to ensure seamless daily operations and successful special projects.
Key Responsibilities
- Deliver comprehensive administrative and office support to senior management and cross-functional departments.
- Manage executive calendars with precision: schedule meetings, coordinate domestic and international travel, and proactively follow up on action items and deadlines.
- Prepare professional correspondence, memos, emails, Excel reports, presentations, and other documents with strong attention to detail and formatting.
- Serve as a central point of contact: respond promptly to internal and external inquiries, provide information, and resolve issues efficiently.
- Support company programs, events, and special projects; take ownership of assigned initiatives from planning through execution.
- Maintain strict confidentiality while collaborating with global teams across multiple time zones.
- Perform additional administrative tasks and ad-hoc projects as required to support organizational success.
Qualifications
- 3–5+ years of experience in an executive administrative or office support role, with direct support to senior-level executives (C-suite experience preferred).
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and strong ability to create professional documents, spreadsheets, and reports.
- Exceptional written and verbal communication skills in English, with proven expertise in professional corporate correspondence and interpersonal interactions.
- Highly detail-oriented with excellent judgment, analytical thinking, and strong problem-solving abilities.
- Ability to thrive in a confidential, fast-paced environment while managing multiple priorities and adapting to shifting needs.
- Proactive mindset with a service-oriented approach and demonstrated initiative in anticipating needs.
- Experience working with global teams and handling different time zones is highly desirable.
