THE OPPORTUNITY

Silvus is seeking a Contracts Coordinator who will report to the Director of Legal. The successful individual in this role will be responsible for providing administrative and clerical support to the legal and contracts department. This will involve reviewing contracts, managing deadlines, document processing, and preparation to ensure compliance with all laws, regulations, and ethical obligations. Other responsibilities will include general clerical assistance and independently handling special projects to improve policies and procedures of the Legal and Compliance department.

This position is based at Silvus Technologies’ headquarters in the heart of vibrant West Los Angeles, CA, and is on a hybrid schedule; a minimum of 3 days onsite per week is expected. On-site days are Mondays, Wednesdays, and Thursdays.

The following is a list of at least some of the current essential job functions of the position. Management may assign or reassign duties and responsibilities at any time at its discretion.

ROLE AND RESPONSIBILITIES 

  • Independently negotiate and execute non-disclosure agreements, terms and conditions, and other agreements within company guidelines.
  • Monitor the Legal department inbox and prioritize, track, allocate and resolve legal requests and/or follow-up within or outside of the department as necessary.
  • Advise the Sales Administration team regarding legal certifications, customer forms, and information requests.
  • Draft and revise written policies and procedures based on instructions from the Director of Legal and the Contracts Manager.
  • Work on Independent legal-related projects, such as identifying and retaining vendors to implement legal requirements, reviewing and executing requirements for joining the consortium, and sourcing and obtaining insurance policies.
  • Maintain compliance, facility security, and training calendars.
  • Schedule meetings and ensure timely notice of upcoming deadlines.
  • Manage compliance records and execution of contracts in contracts management system.
  • Assist with compliance/security audits and other tasks necessary to maintain and monitor compliance with policies and regulations.
  • Adapt and update templates to prepare new legal documents.
  • Manage vendors and subcontractors, including file maintenance, invoice review, cost proposal assistance, and monitoring deadlines.
  • Maintain and track Silvus’ government property inventory.
  • Perform other related duties of which the above are representative.

REQUIRED QUALIFICATIONS

  • Bachelor’s degree in Business Administration, Legal Studies, or a related field (will consider Mid-Senior Paralegal experience in lieu of degree).
  • 2 years of legal administrative assistant, paralegal, or business operations experience.
  • Prior experience in a fast-paced office environment, managing multiple deadlines.
  • Strong computer skills and proficiency with Microsoft Word and Excel.
  • Excellent written and oral communication skills, including reading comprehension.
  • Self-motivated and ability to work independently in a fast-paced environment.
  • Strong legal drafting skills and attention to detail to assist with writing and revising contracts, NDAs, and other legal documents, ensuring accuracy and adherence to company policies.
  • Strong organizational skills with the ability to manage multiple projects and tasks with competing priorities without sacrificing accuracy or efficiency.
  • NOTE - Must be a U.S. Person (U.S. Citizen, or U.S. Permanent Resident) due to clients under U.S. federal contracts.
  • All employment is contingent upon the successful clearance of a background check and drug test.

  • Office environment.
  • Ability to lift up to 20 lbs.

COMPENSATION

The pay range is NOT a guarantee. It is based on market research and peer data, and will vary depending on the candidate’s experience and qualifications.

CA Pay Range

$33.65 - $36.06 USD
