The Role: 

We are seeking a proactive and organised IT & Office Facilitator to join our dynamic Peop Team. In this pivotal role, you will be responsible for ensuring the seamless operation of our office environment while supporting IT, facilities management, and administrative function You will play a crucial role in maintaining a safe, productive, and well-equipped workspace, promoting efficiency, and ensuring our team has the necessary tools and support to succee 

What you’ll do: 

IT Support & Technical Proficiency: 

  • Configure and set up laptops for new employees and updated devices, ensuring th have the necessary software and access permissions. 
  • Wipe and securely decommission laptops and other devices when employees leave or when hardware is retired. 
  • Maintain an inventory of IT equipment and track allocation to employees. 
  • Provide first-line IT support, troubleshooting hardware, software, and network issu for employees, both onsite and remotely.
  • Manage IT requests from staff, ensuring timely resolution. 
  • Collaborate with the US-based IT support team to escalate and resolve more complex technical issues. 
  • Monitor IT systems and identify opportunities for improvement or areas requiring attention. 
  • Assist with software updates, installations, and licensing compliance, ensuring adherence to relevant regulations. 
  • Manage user accounts and access control across IT systems, ensuring security protocols are upheld. 
  • Support the implementation and maintenance of IT policies and best practices, ensuring compliance with company security and data protection standards. 
  • Help with the setup of our monthly all-hands meeting. 

Office & Facilities Management:

  • Serve as the primary contact for office and warehouse maintenance issues, such  plumbing, electrical work, or HVAC concerns. 
  • Schedule and coordinate repairs or service visits with relevant contractors, ensuring minimal disruption to operations. 
  • Conduct regular inspections of office and warehouse facilities to identify and addre any potential problems proactively. 
  • Ensure all office and warehouse facilities, including meeting rooms, kitchens, a common areas, are fully equipped and operational. 
  • Maintain stock of essential supplies such as weekly snack order, stationery, kitchen items, and cleaning products. 
  • Establish and maintain relationships with service providers, ensuring contracts are current and services meet the organisation’s needs. 
  • Request quotes, negotiate rates, and manage contracts for facilities and IT services as required. 
  • Serve as the central point of contact for staff inquiries related to facilities, IT, or health and safety. 
  • Communicate updates about office policies, maintenance schedules, or syst outages to employees effectively. 

Health and Safety Compliance: 

  • Monitor and Maintain First Aid Kits: Regularly inspect first aid kits across all office warehouse locations to ensure they are fully stocked and meet legal and company requirements. Restock supplies as needed and replace expired items promptly. 
  • Ensure Compliance with First Aid Regulations: Maintain records of first aid invento checks and ensure the company complies with workplace safety regulations regarding medical supplies and emergency care. 
  • Fire Safety Equipment Management: Coordinate with external providers to ensure that all fire safety equipment, including extinguishers, smoke detectors, fire ala and emergency exit lighting, is tested and serviced at the required intervals. 
  • Evacuation & Emergency Response Planning: Assist in planning and conducting regular fire drills and emergency evacuation exercises to ensure staff is prepared f emergencies.
  • Conduct Routine Safety Checks: Oversee regular office and warehouse safe inspections, identifying and addressing hazards such as blocked emergency exits, faulty equipment, or ergonomic risks. 
  • Risk Assessments: Perform and document workplace risk assessments to proactively mitigate potential hazards, ensuring compliance with health and safety regulations. 
  • Track Health & Safety Training Records: Maintain an updated record of employee health and safety training, ensuring all staff complete required training and schedule refresher courses as necessary. 
  • Organise Health & Safety Training Sessions: Arrange and coordinate training sessions for employees, including first aid, fire safety, manual hand 
  • Maintain and Update Health & Safety Policies: Ensure the organisation’s health and safety policy is regularly reviewed and updated in accordance with any new legal or regulatory changes. Communicate updates to employees and ensure company-wide compliance. 
  • Incident Reporting & Investigation: Assist with logging and investigating workplace accidents or near-miss incidents, implementing corrective actions where necessary. 

People Team Assistance: 

  • Meeting Support: Take accurate minutes during meetings, distribute them promptly, and ensure follow-up on action points. 
  • Employee Correspondence: Draft, proofread, and send employee letters related to offers, contracts, policy updates, and other HR matters. 
  • Document Management: Maintain and update templates, policies, and documentation to ensure consistency and compliance. 
  • Filing & Record Keeping: Organise and manage digital filing systems, ensuring secure and easy access to important records. 
  • Event Coordination: Assist in organising company events, including meetings, training sessions, team-building activities, and seasonal parties. 
  • Recruitment Support: Assist with job postings, CV screening, interview scheduling, and candidate communication. 
  • Learning & Development Assistance: Support the Learning and Development Lead with training coordination and documentation. 

What you’ll need: 

  • Technical Proficiency: Possesses hands-on experience in IT systems, troubleshootin and software/hardware setup.
  • Organisational Skills: Demonstrates the ability to effectively manage multiple tasks, prioritise workloads, and meet deadlines efficientl 
  • Communication: Excellent verbal and written communication skills, enabling effective interaction with internal teams, external vendors, and international counterparts. 
  • Problem-Solving: A proactive and analytical approach to identifying, diagnosing, and resolving issues efficientl 
  • Attention to Detail: Ensures accuracy in administrative tasks while maintaining compliance with health and safety regulations.
  • Team Player: Capable of collaborating across various departments and support teams to achieve business objectives.
