The Role: 

We are seeking a proactive and organised Office Operations Executive to join our dynamic People Team. In this key role, you will oversee the smooth day-to-day running of our office and warehouse, ensuring a safe, efficient, and well-equipped working environment. You will be responsible for supporting IT, facilities management, and operational administration, playing a vital part in keeping our teams productive and supported. This role requires strong organisational skills, attention to detail, and the ability to manage multiple priorities while maintaining a high standard of service. 

What you’ll do: 

IT Support & Technical Proficiency: 

  • Configure and set up laptops for new employees and updated devices, ensuring they have the necessary software and access permissions. 
  • Support onboarding and offboarding processes, ensuring proper setup and removal of system access. 
  • Oversee the day-to-day IT support and infrastructure for the UK office. 
  • Act as the primary contact for all local IT-related queries, escalating to the US IT team when required. 
  • Wipe and securely decommission laptops and other devices when employees leave or when hardware is retired. 
  • Maintain an inventory of IT equipment and track allocation to employees. 
  • Provide first-line IT support, troubleshooting hardware, software, and network issues for employees, both onsite and remotely. 
  • Collaborate with the US-based IT support team to escalate and resolve more complex technical issues. 
  • Monitor IT systems and identify opportunities for improvement or areas requiring attention. 
  • Assist with software updates, installations, and licensing compliance, ensuring adherence to relevant regulations. 
  • Support the implementation and maintenance of IT policies and best practices, ensuring compliance with company security and data protection standards. 
  • Assist with the setup of our monthly all-hands meeting.

Office & Warehouse Facilities Management: 

  • Serve as the primary contact for all office and warehouse maintenance issues, including plumbing, electrical work, HVAC concerns, and general repairs. 
  • Schedule and coordinate repairs or service visits with relevant contractors, ensuring minimal disruption to business operations. 
  • Conduct regular inspections of both office and warehouse facilities to proactively identify and address potential issues. 
  • Ensure all areas, including meeting rooms, kitchens, common spaces, and warehouse workspaces, are fully equipped, safe, and operational. 
  • Maintain adequate stock of essential supplies such as weekly snack orders, stationery, kitchen items, cleaning products, and warehouse consumables. 
  • Establish and maintain relationships with service providers, ensuring contracts are up to date and services consistently meet the organisation’s needs. 
  • Request quotes, negotiate rates, and manage contracts for facilities and IT services as required. 
  • Act as the central point of contact for staff inquiries relating to facilities, IT, or health and safety across both the office and warehouse. 
  • Communicate updates about policies, maintenance schedules, or system outages to employees in a clear and timely manner. 

Health and Safety Compliance: 

  • First Aid Management: Monitor and restock first aid kits across all sites, replacing expired items and keeping accurate records to ensure compliance. 
  • Fire Safety: Coordinate with providers to service and test fire extinguishers, alarms, detectors, and emergency lighting on schedule. 
  • Emergency Preparedness: Support evacuation planning, organise fire drills, and ensure staff are trained for emergency response. 
  • Safety Inspections: Carry out routine checks across office and warehouse areas, addressing hazards such as blocked exits, faulty equipment, or ergonomic risks. 
  • Risk Assessments: Conduct and document workplace risk assessments in line with regulations, taking proactive steps to reduce risks. 
  • Training & Records: Maintain up-to-date records of employee health and safety training, organise refresher courses, and arrange sessions such as first aid, fire safety, and manual handling. 
  • Policy Compliance: Review and update health and safety policies as legislation changes, communicating updates clearly to all staff. 
  • Incident Reporting: Log and investigate workplace accidents or near-misses, ensuring corrective actions are implemented.

  • Technical Proficiency: Possesses hands-on experience in IT systems, troubleshooting, and software/hardware setup.
  • Organisational Skills: Demonstrates the ability to effectively manage multiple tasks, prioritise workloads, and meet deadlines efficiently.
  • Communication: Excellent verbal and written communication skills, enabling effective interaction with internal teams, external vendors, and international counterparts. 
  • Problem-Solving: A proactive and analytical approach to identifying, diagnosing, and resolving issues efficiently.
  • Attention to Detail: Ensures accuracy in administrative tasks while maintaining compliance with health and safety regulations.
  • Team Player: Capable of collaborating across various departments and support teams to achieve business objectives.
