POSITION OVERVIEW
We are seeking an Order Management Specialist, Project Business to support end-to-end order fulfillment for EPC Large Scale project accounts across North Central America. This role serves as the subject matter expert for the order management team on processes and issues, driving cross-functional collaboration, reporting accuracy, and continuous improvement. The Order Management Specialist, Project Business plays a critical role in ensuring order cycle integrity, billing accuracy, and customer satisfaction across SMA America's project business operations.
This role is hybrid and based out of our Rocklin, CA office.
PRIMARY DUTIES / RESPONSIBILITIES
Order Fulfillment and Account Management
- Manage end-to-end order processes for EPC Large Scale project accounts with advanced knowledge of all order process steps
- Identify and resolve order-related problems in a timely manner while ensuring accurate billing and transactions
- Analyze and assess inbound material, on-hand material availability, and order allocation
- Process Sales RMA returns and manage credit note requests through to completion
- Collect, identify, and manage reseller certificates for tax exemption
- Close out Salesforce opportunities for Sales, create ship-to accounts, and perform data entry
Reporting and Cross-Functional Collaboration
- Conduct weekly Open Order Meetings for project business with Purchasing, Transportation, and Project Management
- Review and manage the open order report and update expected delivery dates for accurate revenue forecasting
- Import and query open order reports in Excel and prepare performance metrics for management
- Communicate order status to partners and ensure order cycle timelines are met
- Prepare delivery notes and manage communication with Accounts Receivable for transition into the 3PL Footprint system
- Create freight quotes through the TMS Freight portal
Process Improvement and Knowledge Management
- Collaborate cross-functionally to drive continuous improvements on related processes, work instructions, and procedures
- Serve as subject matter expert in task force teams and represent the order management function
- Research and apply data from SAP functions to resolve complex order tasks
- Serve as the subject matter expert for system testing in test environments for new implementations
- Train and mentor new team members
- Other duties as assigned
REQUIRED QUALIFICATIONS
- High school diploma or equivalent required; Associate degree in Business or Logistics strongly preferred
- Minimum 5 years of relevant work experience in order management or customer service
- Knowledge of SAP and Salesforce
- Strong problem-solving skills with the ability to resolve complex duties and tasks
- Knowledge of logistics and freight forwarders including FedEx and TMS
- Proficiency in Microsoft Office Suite including Word, PowerPoint, and ExcelStrong written and verbal communication skills in English
- High attention to detail and a commitment to accuracy
PREFERRED QUALIFICATIONS
- Experience in a solar, energy, or supply chain environment
- Business administration, finance, or supply chain background
- German and/or Spanish language proficiency is a plus
