Sol De Janeiro is looking for an experienced Events and Sales Coordinator to join the Events and Sales team. This candidate will be responsible for supporting the department in ensuring the field team is equipped with the tools necessary to be success in store with their events. Our Events and Sales Coordinator will report to the Events and Sales Manager and will work closely with the Executive Director of Field Sales and Training.  

The position will report to the Manager of Retail Events and Education.

 JOB RESPONSIBILITIES:

Event Support

  • Ensure all necessary event materials (e.g., banners, flyers, promotional items) are prepared and available.
  • Coordinate the distribution of event collateral to the Field Team of Executives.
  • Manage inventory and distribution of car stock and product samples for events.
  • Ensure timely delivery of products to event locations.
  • Work with the sales team to establish clear goals for each event.
  • Monitor and track event performance against established goals.

Vendor Communication

  • Identify and evaluate potential vendors for events.
  • Negotiate prices and terms to align with event budgets.
  • Track and submit invoices for payment.

LATAM Market Support

  • Provide specialized support for Spanish-speaking markets, particularly Mexico.
  • Tailor event strategies and materials to suit the cultural and market-specific needs of these regions.

Forecasting and Budget Management

  • Maintain accurate records of inventory usage and remaining stock.
  • Assist in forecasting future needs based on historical data and upcoming events.
  • Monitor event budgets and ensure spending stays within approved limits.
  • Provide regular updates on budget status and forecasted expenses.

Additional Responsibilities

  • Assist with scheduling, logistics, and other administrative tasks as needed.
  • Support the sales team with various ad hoc tasks to ensure smooth operations.
  • Maintain clear and consistent communication with the Field Team of Executives, sales team, and vendors.
  • Act as a liaison between different departments to ensure alignment and efficient execution of events.

QUALIFICATIONS & EXPERIENCE:

  • Should be proficient in MS Office (Word, Excel and PowerPoint).
  • Must have experience working with Sephora.
  • Be able to travel to support event nationally and internationally.
  • Should have an energetic, positive and service-oriented personality and be skilled at relationship-building.
  • Should be passionate about skincare, body and hair products.
  • Must be focused, show excellent attention to detail and demonstrate an entrepreneurial approach to their work.

ADDITIONAL REQUIREMENTS:

  • Ability to lift, push and pull up to 50 lbs.
  • Able to stand for up to 8 hours a day, with breaks.
  • Spends at least 20% of time in the field/in store.
  • Ability to travel up to 20%
  • Must have flexibility to work on weekends as business needs require

Salary Range

$55,000 - $70,000 USD

In addition to base salary, this position is eligible for participation in a highly competitive bonus program with the possibility for overachievement based on performance and company results.
