
Executive Assistant (MD's Office)
The Executive Assistant to the MD will provide strategic, administrative, and operational support to ensure the MD’s priorities are executed efficiently. This role requires exceptional organizational ability, discretion, digital fluency, strong communication and interpersonal skills, and strong stakeholder management. The EA will play a key role in managing the MD’s schedule, coordinating cross-functional initiatives, and preparing high-quality presentations and materials for internal and external engagements.
What you'll do:
Presentation & Content Development
- Create high-quality PowerPoint presentations, reports, and briefing materials for leadership meetings, reviews, and other internal and external engagements.
- Translate the MD’s ideas, data, and strategy into clear, visually compelling presentations.
- Bring strong digital finesse and storytelling ability to slide creation to ensure impactful communication.
Calendar & Priority Management
- Manage and optimize the MD’s calendar, ensuring alignment with business priorities.
- Schedule internal and external meetings efficiently and proactively.
- Anticipate scheduling conflicts and manage shifting priorities effectively.
Internal & External Communication / Coordination
- Act as the primary point of coordination between the MD and internal and external stakeholders.
- Manage incoming communication and ensure timely responses and follow-ups.
- Draft and review professional emails, notes, and communication on behalf of the MD.
- Prepare agendas, background notes, and briefing documents for key meetings.
- Capture key discussion points and track follow-ups on strategic priorities.
- Track key projects and MD priorities to ensure timely progress and execution.
- Maintain confidential documents, reports, and records with the highest level of discretion.
Billing & Expense Management
- Manage and track the MD’s expenses, ensuring timely submission, reconciliation, and compliance with company policies.
- Coordinate vendor invoices, billing processes, and payments related to the MD’s office or activities.
- Liaise with the finance team to ensure smooth processing of approvals, invoices, reimbursements, and expense reports.
Travel & Event Logistics
- Manage domestic and international travel arrangements, including itineraries, visas, and accommodations.
- Ensure seamless planning for domestic and international guest visits and other related events.
Who you are:
- You have 8–10 years of experience supporting senior leadership or C-suite executives.
- You have demonstrated experience creating high-quality executive presentations and briefing materials.
- You are highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
- You have strong written and verbal communication skills.
- You bring advanced PowerPoint and presentation design capabilities.
- You have strong digital proficiency and a sharp eye for visual storytelling.
- You handle sensitive and confidential information with discretion and professionalism.
- You have strong stakeholder management and coordination skills.
- You are proactive, resourceful, and able to anticipate needs before they arise.
- You are comfortable operating in a high-visibility, fast-paced environment.
