Manager, Subscription Infrastructure & Operations

We are hiring a Senior Manager, Subscription Infrastructure & Operations to join our team either in our Miami, Florida or Washington, DC office.
As the Senior Manager, Subscription Infrastructure & Operations you will:
Billing & Subscription Management
- Own end-to-end setup and administration of customer subscriptions, products, and pricing structures in Chargebee.
- Maintain accurate records of contract terms, billing cycles, mid-term amendments, upgrades, and cancellations.
- Implement and maintain controls to prevent data corruption, orphaned subscriptions, or revenue leakage.
- Support invoicing operations: schedule automation, custom invoices, billing calendars, and proration logic.
- Provide company leadership with visibility into billing statuses, MRR/ARR movements, and customer expansion, retraction and retention events.
Data Integrity & Controls
- Define, document, and enforce internal controls over subscription lifecycle data and billing operations.
- Develop validation checks and reconciliation workflows between Chargebee, HubSpot, NetSuite, and reporting tools.
- Establish clear logging, version control, and stakeholder approval mechanisms for subscription changes.
- Own data quality metrics: invoice error rates, CRM–billing discrepancies, subscription status mismatches.
Revenue Operations (CRM-Facing)
- Serve as the operational counterpart to Sales and Account Management in maintaining CRM data accuracy.
- Ensure all customer, subscription, renewal, and retention data is consistently and accurately reflected in HubSpot.
- Build cross-system workflows to sync billing events (e.g., sign-ups, renewals, churn) with CRM objects.
- Maintain audit-ready links between signed agreements (via DocuSign) and their corresponding billing records.
Accounting Operations (ERP-Facing)
- Partner with Finance to ensure Chargebee billing and subscription data is appropriately structured for ERP ingestion (NetSuite).
- Maintain and monitor sync workflows (e.g. via middleware or native integration) to ensure completeness and accuracy of deferred revenue data.
- Support Finance in monthly close and audit cycles by preparing control documentation, exception reports, and change logs.
- Serve as subject matter expert during ERP-related projects involving billing data (e.g., NetSuite automation, revenue recognition updates).
- Note: Deferred revenue reconciliation and GAAP compliance is owned by the Finance team, with your support on source data integrity.
Systems Ownership & Process Automation
- Act as administrator of Chargebee and liaison to technical teams for integration with NetSuite, HubSpot, and analytics tools.
- Identify and implement opportunities to automate manual billing workflows, reduce latency, and improve scale.
- Maintain documentation for system architecture, field mappings, and data validation rules.
- Continuously evaluate systems performance, ensuring data fidelity and system uptime.
Essential Qualifications for this position include:
- 5+ years of professional work experience in billing operations, revenue operations, or CRM–ERP data management in a SaaS or subscription-based business.
- Knowledge of subscription lifecycle mechanics and CRM field dependencies (preferably HubSpot).
- Knowledge of internal control frameworks, audit preparation, and billing system integrations.
- Ability to operate spreadsheets, conduct basic SQL or API-based data validation, and document business logic/processes.
- Ability to operate Chargebee, Zuora, Stripe, Recurly, or comparable billing platform.
Preferred Qualifications for this position include:
- Prior professional work experience in a start-up organization
- Bachelor’s degree in business administration, finance, or related field
This is a hybrid work opportunity and our teams operate from the Washington, DC office (located at L and 15th St. NW) and from the Miami, FL office (located in the Wynwood area) at least 4 (four) days per week. State Affairs offers a competitive salary and a comprehensive benefits package to employees
The annual salary range for this role as it is posted is $134,000 - $166,000 for candidates working from the State Affairs office in Washington, DC or Miami, Florida. The final job level and annual salary will be determined based on the education, qualification, knowledge, skills, ability, and experience of the final candidate(s), and calibrated against relevant market data and internal team equity.
