Executive Assistant
Career Opportunity – Executive Assistant with Found Village in Cincinnati, OH
Are you a highly organized, perceptive professional who anticipates needs, protects trust, and helps senior leaders focus on the work only they can do? Do you bring sound judgment, thoughtful communication, and reliable follow-through to complex relationships and changing priorities? If so, we want to speak with you!
The Executive Assistant increases the effectiveness, capacity, and external reach of a leader responsible for Found Village’s development strategy, major donor and investor relationships, external partnerships, and executive-level revenue leadership. This high-trust role manages executive time, preparation, communication, information, relationship coordination, and follow-through so important opportunities and commitments move forward with clarity. This is an elevated executive support position—not a Chief of Staff, Operations leadership, or Development leadership role.
Responsibilities:
- Manage the executive calendar as a reflection of priority, protecting time for major donor and investor engagement, external relationships, preparation, strategy, and follow-through.
- Anticipate scheduling conflicts, recurring commitments, deadlines, travel, events, and preparation needs before they become urgent.
- Prepare agendas, logistics, briefing materials, relationship context, prior commitments, and clear objectives for important meetings.
- Coordinate meetings and communication with donors, investors, funders, board members, partners, community leaders, staff, and other stakeholders.
- Capture decisions, commitments, owners, and next steps; track executive follow-through and surface unresolved items at the right time.
- Draft and organize executive correspondence while maintaining the executive’s voice, relationship context, and Found Village’s professional standards.
- Organize executive files, materials, contact information, and reference documents so valuable information remains visible and accessible.
- Coordinate reliable handoffs to the Director of Development and other responsible roles so relationship information and commitments enter the appropriate systems.
- Build repeatable templates, checklists, timelines, briefing formats, and workflows that reduce administrative friction and dependence on memory.
- Handle confidential and sensitive information with exceptional discretion, mature judgment, clear boundaries, and accurate representation of authority.
Requirements:
- Experience providing high-level executive support in a relationship-driven, fast-moving environment.
- Exceptional organization, prioritization, communication, and follow-through, with the ability to manage many moving pieces.
- Strong judgment and discretion when handling confidential information, executive access, sensitive relationships, and unclear situations.
- Excellent written communication skills and the ability to adapt tone to donors, investors, board members, partners, staff, and community stakeholders.
- A proactive, context-aware approach with the confidence to make routine decisions, recommend thoughtful trade-offs, and recognize when executive judgment is required.
- Comfort communicating upward, respectfully reminding senior leaders of commitments, and following through without overstepping authority.
- Ability to build practical systems, document recurring processes, use technology effectively, and create continuity that others can understand.
- A collaborative, service-oriented mindset, and genuine satisfaction in helping another leader become more effective.
What success looks like:
- The executive calendar increasingly reflects high-value relationships, revenue, and leadership priorities rather than incoming demand.
- Important donors, investors, board, partner, and community meetings are thoughtfully prepared, with useful context and clear objectives.
- Executive commitments, communication, and next steps are visible, timely, and reliably completed.
- Priority external relationships experience strong continuity, responsiveness, and coordination without depending on executive memory alone.
- Sensitive information is protected, routine coordination requires less executive attention, and communication reflects Found Village’s relational posture.
- Executive systems become increasingly anticipatory, documented, reliable, and capable of absorbing greater complexity without proportional increases in administrative burden.

A System in Need of Support
We fill the gaps.
Let’s face it, our society runs on a network of various systems set in place to meet the needs of individuals. Unfortunately, many of these systems, though well intended, are not designed to raise kids and meet their needs holistically. Because of this, the teens we work with often lose trust, give up, and let their pain drive choices and behavior. They have been in and out of detention centers, courtrooms, foster homes, shelters, different schools, and more. They are from hard places and circumstances that leave them frustrated and discouraged. They are assigned diminishing labels, misdiagnoses, unrealistic work plans, and offered subpar support programs. To nobody’s surprise, there is often no real change.
We come alongside families and communities in need. We are here to partner with these systems—to come behind them and fill in the gaps wherever necessary. Without a holistic approach to serving kids in crisis, many areas of need are left unmet. In turn, this results in deeper levels of trauma, neglect, and misunderstanding. We exist to support our teens and their families so they can understand and navigate the systems they have become a part of. We aim to help elevate the voices of our youth and provide them with the support that an average teenager born into different circumstances would inherently receive.
