Position Overview:

We are seeking an experienced Executive Assistant with strong administrative capabilities who can also take ownership of managing the Fort Worth office. This role is ideal for someone who thrives in a fast-paced environment, is an excellent multi-tasker, and takes pride in creating a well-run, professional, and welcoming workplace. As part of the role you will support executives with scheduling, travel, and expense reporting; manage office resources; plan events; and ensure the office environment is efficient and enjoyable for the team.

 Key Responsibilities:

  • Executive Administrative Support
    • Manage complex executive calendars, including scheduling meetings across multiple time zones.
    • Coordinate domestic and international travel, including flights, accommodations, and itineraries.
    • Prepare and submit accurate, timely expense reports for executives.
    • Assist with preparation of presentations, reports, and meeting materials.
    • Manage recurring reporting cycles and deadlines.
    • Anticipate executive needs and proactively solve scheduling/logistical conflicts.
  • Office Operations & Facilities
    • Oversee day-to-day office needs and vendor coordination to ensure smooth operations.
    • Order and maintain office supplies, snacks, and other essentials to keep the workplace well stocked.
    • Implement and manage office systems to improve efficiency and organization.
  • Event & Culture Coordination
    • Plan and execute company events, team-building activities, and offsites.
    • Support internal communications and help foster a positive office culture.
    • Coordinate logistics for client visits and special meetings.
  • Administrative & Financial Support
    • Track office expenses, process invoices, and manage vendor relationships.
    • Support HR and Operations with onboarding logistics for new employees.
    • Ensure compliance with office policies and procedures.

 Qualifications & Requirements:

  • Experience as an Executive Assistant or Senior Administrative Professional, ideally with exposure to office management responsibilities.
  • High proficiency in managing executive calendars, travel, and expenses.
  • Ability to support C-level executives in a high-demand environment.
  • Strong judgment, discretion, and ability to manage confidential information.
  • Solid attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and/or Google Workspace; familiarity with expense and scheduling tools.
  • Ability to anticipate needs, solve problems proactively, and maintain confidentiality.
  • Positive, flexible, and professional attitude.
