The Role
Telnyx is seeking a highly motivated and organized Office Manager to support our Amsterdam office and collaborate with teams across EMEA and the USA on a part-time contract basis.
This role is ideal for a mature, professional individual who thrives in a fast-paced environment and can handle challenging situations with grace, tact, and sound judgment. We are looking for someone with strong initiative, a sense of urgency, and a positive, high-energy attitude.
In addition to core office management responsibilities, this role will act as a key on-site liaison for basic IT coordination, ensuring equipment, spaces, and systems remain organized and operational.

Key Responsibilities
Administrative & Operational Support
- Provide day-to-day administrative and operational support to ensure smooth office operations.
- Manage operational logistics including receiving, distributing, shipping, and ordering office supplies.
- Maintain organized storage systems and oversee supply inventory to support a well-structured workspace.
Office & Event Management
- Manage office catering, snacks, beverages, and supply inventories to ensure the office remains well-stocked and comfortable.
- Coordinate office space setup for meetings, events, and daily operations, including furniture arrangements and workspace organization.
- Plan and execute office events, including vendor coordination, logistics management, setup, and teardown.
Calendar & Communication Management
- Maintain and manage calendars and daily schedules, prioritizing requests effectively.
- Handle internal and external communications with professionalism and diplomacy.
- Act as a point of coordination between teams when necessary.
Meeting Coordination
- Organize executive board meetings and local team meetings, including scheduling, logistics, invitations, agenda preparation, and catering.
- Prepare and manage meeting materials such as presentations, notes, and action items, ensuring follow-up and timely completion of tasks.
IT & Workplace Coordination
- Manage company laptops, including tracking allocation, secure storage, and coordinating reimaging when required.
- Provide basic IT support such as assisting with Wi-Fi connectivity and troubleshooting simple issues.
- Act as the on-site point of contact for IT contractors and vendors.
- Support shipping and receiving of IT equipment as needed.
- Ensure network equipment and office technology are handled appropriately and not tampered with.
- Monitor and report any technical issues that require escalation to the IT team.
- Ensure conference rooms and meeting spaces are fully functional and report any issues promptly.
- Maintain organized and well-equipped desks and shared workspaces.
Confidentiality & Collaboration
- Maintain strict confidentiality regarding sensitive communications and documents.
- Collaborate with operational teams to improve cross-team communication and workflow efficiency.
- Foster strong working relationships with colleagues across the Telnyx organization.
Qualifications
- Proven experience in an administrative, office management, or operations role, preferably within a fast-paced environment.
- Strong organizational and multitasking skills with the ability to manage competing priorities.
- Excellent written and verbal communication skills with strong attention to detail.
- Ability to handle confidential information with professionalism and discretion.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office tools.
- Comfortable handling basic IT coordination tasks (no advanced technical expertise required).
- A proactive, solution-oriented mindset with the ability to work independently and collaboratively.
- Comfortable assisting with physical office tasks such as moving furniture or organizing spaces when needed.
Contract Details
- Contract Type: Contractor (Part-Time Cover)
- Duration: 7 months, with potential extension to a 12-month contract
- Location: Amsterdam Office, with regular interaction with teams across EMEA and the USA
